An Insight to the role
· To be responsible for providing full administrative support to the Property Managers in a busy and fast-moving Residential Property Management environment. This will include administrative support and compliance, in addition to estates duties, including liaison/communication duties with clients, building staff and tenants. To deliver a first class and professional service in a cost-effective and timely manner.
· To generate purchase orders for maintenance works when requested.
· To follow up works undertaken and to ensure record keeping is up to date, regularly review and chase contractors where necessary.
· On all Risk Assessments where instructed, issue purchase orders, ensure all administration and record keeping is up to date and follow up where necessary.
· To raise the necessary purchase orders for Quooda for each building within the portfolio managed and providing the information when requested in order for compiling the compliance reports.
· Post notices and updates onto Portal, which have been prior approved by SPM/PM.
· First point of contact for resident enquiries.
· Monitor Estates inbox and manage the central email account and forward to APM/PM as required.
· Arrange for contractors to attend site, when instructed to do so. Insuring PO has been issued
· Arrange access where required.
· Follow up works to ensure they have been completed.
· Obtain quotations where requested.
· Maintain and update weekly an out of hours maintenance database, with specific information from buildings within your portfolio.
· Reporting to Line Manager regularly, highlighting any areas of concern or issues.
· Assist, if needed, in checking and coding supplier invoices in line with approved budgets.
· Set up contractor contracts in the system and monitor attendance and work completion.
· Maintain and organise portfolio-related server files, ensuring documents are accurately saved, appropriately categorised, and kept up to date. Ensure records are stored in accordance with company procedures, enabling easy access, effective audit trails, and compliance with document management standards.
