Overview
We are seeking an Office Administrator to be responsible for all administration for all aspects of the organisation. To be responsible for supporting the Operations/Registered Manager with administrative and other tasks associated with ensuring Khiron Clinics runs efficiently. To promote a supportive and caring environment for both residents and therapists through high standards of professional practice. To be part of the out of hours emergency rota.
The main responsibilities of the role include, but are not limited to:
Admin
- Together with the Operations/Registered Manager, maintain good working relationships with CQC, social services departments, local authorities, and NHS teams
- Ensuring staff are compliant with the CQC regulations including medication management, infection control and health and safety
- Assisting the clinical team with all aspects of Admin
- Liaising with clients, families and external professionals
- Strive for continuous improvement by keeping up to date with the developments of CQC and Health and Social Care Acts, education, and training. Pass this knowledge on to support staff.
- Ensure staff adhere to the company’s policies and procedures, maintain accurate record keeping and expeditiously report incidents and accidents, including safeguarding events
- Monitoring the daily care system
- Take responsibility for the preparation of the support staff Rota and ensure all shifts are always covered with a suitable skill mix
- Attend and participate in relevant staff, professional and external meetings as required
- To monitor the Fire Risk Assessment
- To ensure PEEPs plans are up to date
- Audit care plans and risk assessments to ensure they are person centered
- Assist the Operations Manager to ensure that internal and external audits and quality checks are completed as required
- Create policies in line with CQC requirements
HR
Assist with recruitment for Clinic staff with Operations/Registered Manager
Support
- Working collaboratively with others to provide expert person-centered care when working with residents who display symptoms of Trauma. Ensure all clinical work is carried out therapeutically with residents
- Actively encourage the social care of residents outside of the therapeutic hours, to ensure the clinic promotes the psychological and physical wellbeing of residents

- Attend and participate in training sessions and staff meetings as and when required

- Respect confidentiality of all matters that they learn in the course of their employment
- Respect the requirements under the GDPR Act 2018
