Bearing Source is an independent industrial distributor supplying bearings, seals, power-transmission products and associated engineering components to businesses across the North West and throughout the UK.
We are looking for a dependable and organised person to join our small team in a varied role combining sales and purchasing administration with trade-counter and warehouse duties.
This is not a purely desk-based position. You will help process customer and supplier orders, serve customers at the trade counter, receive incoming goods and prepare outgoing deliveries.
The role
Technical enquiries, supplier selection, pricing and priorities will initially be set by the company director through our central workload sheet. Your responsibility will be to process that work promptly and accurately, keep it moving and make sure nothing is overlooked.
Your duties will include:
- Sending enquiries to nominated suppliers
- Chasing outstanding quotations, order confirmations and delivery dates
- Placing purchase orders from clear instructions
- Processing customer sales orders
- Producing and sending sales-order acknowledgements
- Checking supplier confirmations against our purchase orders
- Recording costs, lead times and progress accurately
- Flagging discrepancies, delays and jobs requiring further decisions
- Serving customers and processing straightforward collections at the trade counter
- Answering overflow telephone calls and taking accurate messages
- Receiving, checking and booking in incoming goods
- Matching goods to the relevant purchase and sales-order paperwork
- Picking, packing and labelling outgoing deliveries
- Keeping the counter, paperwork and goods-handling areas organised
- Assisting with occasional local deliveries when required
Our work is coded according to urgency, from breakdown requirements needing immediate attention to longer-term project enquiries. You must be able to follow these priorities while ensuring routine orders and enquiries continue to progress.
About you
We are looking for someone who:
- Takes ownership of work and follows it through to completion
- Works with urgency without sacrificing accuracy
- Is highly organised and does not allow difficult or incomplete jobs to disappear
- Is comfortable moving between office administration, the trade counter and the warehouse
- Communicates confidently and professionally with customers and suppliers
- Can work effectively within a small business where everyone contributes
- Is comfortable using computer systems, email and spreadsheets
- Is physically capable of receiving, picking, packing and moving normal parcels and goods
- Holds a full UK driving licence
Experience in industrial distribution, engineering supplies, builders’ merchants, electrical wholesaling, motor factors, trade counters or a similar environment would be particularly valuable.
Previous experience with sales-order processing, purchasing, stock-control or ERP systems is strongly preferred. We currently use Google Sheets, Unleashed and Xero, although full familiarity with these particular systems is not essential.
You do not need detailed bearing or engineering-product knowledge from day one. Training will be provided, but you must be willing to learn our products and processes.
Out-of-hours service
Bearing Source provides an emergency out-of-hours service to its customers. After appropriate training, occasional participation in a pre-arranged on-call rota will form part of the role.
This may involve opening the premises, locating clearly identified stock, preparing paperwork and handing goods to a customer or courier. Any on-call availability and completed call-outs will be paid separately from the basic salary.
