We are seeking a knowledgeable and detail-oriented Service Charge & Rent Officer to join our Housing Operations team on a permanent basis. This role is responsible for managing service charges and rent processes across a portfolio of 7,000+ homes, ensuring accuracy, transparency, and compliance with legislation.
About the Role
You will lead on the administration, calculation, and communication of service charges, rents, and associated costs for tenants, leaseholders, and freeholders. Working closely with internal teams, managing agents, and residents, you will play a key role in ensuring fair and efficient service charge processes while delivering excellent customer service.
Key Responsibilities
Service Charge & Rent Management
- Set, calculate, and apply service charges, rents, and associated costs
- Produce and issue annual rent and service charge notifications and statements
- Manage sinking funds and estate-based charges
- Ensure accurate allocation and apportionment of costs
Billing & Compliance
- Ensure all charges comply with lease agreements, legislation, and best practice
- Support audits and regulatory reporting requirements
- Maintain compliance with relevant legislation including the Landlord & Tenant Act and Leasehold Reform requirements
Managing Agents & Contractors
- Review and challenge managing agent costs and invoices
- Ensure charges reflect actual service delivery and value for money
- Work with internal teams and contractors to support service delivery and cost accuracy
Resident Engagement
- Act as a key point of contact for service charge and rent queries
- Provide clear, accessible explanations of charges
- Resolve disputes and complaints professionally and in line with policy
Process Improvement
- Identify opportunities to improve efficiency and systems
- Support service improvements and implementation of new tools or processes
About You
- Experience in service charges, rents, or housing finance within social housing or property
- Strong understanding of leasehold management, Section 20 processes, and housing legislation
- Excellent analytical skills with attention to detail
- Confident communicator, able to explain complex financial information clearly
- Proficient in Excel and housing management systems
