Office Administrator
Aberconwy Scaffolding Ltd is looking for a highly organised and proactive Office Administrator / Administrative Assistant to support the Office Manager with the day-to-day running of our business.
The successful candidate will be responsible for ensuring the smooth organisation and efficiency of daily office operations. This is a varied role requiring excellent organisational skills, strong communication, and the ability to work independently while managing multiple priorities. Based in our on-site office you will liaise daily with Directors, scaffolders, customers and suppliers to ensure jobs run smoothly from start to finish. You will communicate with scaffolding team leaders at the end of each working day to monitor progress and update schedules, customers and office records accordingly.
Responsibilities
- Support the Office Manager with the day-to-day administration of the business.
- Manage the office to ensure effective communication internally and externally.
- Monitor and respond to emails and telephone enquiries professionally.
- Liaise daily with Directors, scaffolders, customers and suppliers.
- Communicate with scaffolding team leaders regarding the daily progress of works.
- Update daily schedules and job planners.
- Keep customers informed of job progress and scheduling changes. Prepare and issue estimates, invoices and customer statements.
- Assist with employee administration and keeping of employee records.
- Book training courses and maintain compliance records.
- Maintain vehicle, equipment and insurance records.
- Order office stationery and supplies.
- Prepare and print RAMS, POWRAs, handover certificates, timesheets and other site documentation
- Provide general administrative support to the Office Manager and Directors.
- Carry out any additional administrative duties required to support the business.
Qualifications & Skills
The ideal candidate will have:
- Previous experience in an office administration role.
- Experience using QuickBooks (preferred).
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word and PowerPoint.
- Excellent written and verbal communication skills.
- Strong organisational skills with excellent attention to detail.
- The ability to multitask, prioritise workloads and work independently.
- A professional, positive and reliable approach to work.
- Excellent customer service skills.
Desirable
- Experience within the construction or scaffolding industry.
- This is a Full-time permanent position. Monday to Friday, 9:00am – 4:30pm in a supportive and friendly working environment.

Pay: £13.00 per hour
