Purpose of the Role
The Fundraising & Income Generation Assistant will provide high-quality administrative support across the fundraising and wider income generation function. The postholder will help to ensure that supporters receive timely, warm and professional communications; income and supporter information is recorded accurately; and fundraising activities are organised efficiently.
The role is primarily administrative and supportive. It is not expected to carry an individual income generation targets, although the postholder will contribute directly to the overall success of LIVES Income Generation by improving systems, supporter care and operational efficiency.
Supporter Care and Donation Administration
- Record donations and supporter information accurately on the fundraising CRM and other approved systems.
- Prepare and issue timely thank-you letters, emails, certificates, receipts and other supporter correspondence.
- Respond to routine enquiries from donors, supporters and members of the public, escalating sensitive or complex matters appropriately.
- Support the delivery of consistent donor journeys across one-off giving, regular giving, in-memory giving and other fundraising programmes.
- Handle personal and sensitive information respectfully, maintaining confidentiality at all times.
- Assist with tribute, funeral and in-memory administration, including correspondence with families and funeral directors where required.
CRM Administration
- Create and update supporter records, donation histories, communication preferences and contact details.
- Apply agreed coding, tagging, segmentation and campaign information consistently.
- Identify and support the resolution of duplicate or incomplete records.
- Prepare mailing lists, call lists, event lists and basic reports for the fundraising team.
- Carry out routine data-quality checks and highlight errors, omissions or process weaknesses.
- Ensure all data processing follows UK GDPR, data-protection requirements and LIVES policies.
Income Generation Administration
- Provide administrative support across community fundraising, individual giving, in-memory giving, regular giving, legacy administration, corporate partnerships, events, appeals, collection tins, raffles and other agreed income streams.
- Prepare fundraising packs, resources, certificates, promotional materials and supporter information.
- Maintain records of collection tins, event equipment, fundraising materials and related stock.
- Support the administration of fundraising campaigns and appeals, including data preparation and response handling.
- Assist colleagues with routine research, mailings and follow-up activity.
- Provide flexible administrative support to other income-generating functions where agreed by the Fundraising Manager.
Financial Administration
- Prepare banking paperwork and ensure income information is passed promptly and accurately to Finance.
- Assist with the reconciliation of fundraising income between the CRM, online platforms and finance records.
- Support the collection and checking of Gift Aid declarations and preparation of Gift Aid information.
- Help ensure donations are allocated to the correct campaign, appeal, event, fund or supporter record.
- Highlight discrepancies or missing information promptly and support their resolution.
- Follow LIVES financial controls and cash-handling procedures.
Event Support
- Assist with event bookings, attendee lists, volunteer information, event packs and follow-up correspondence.
- Prepare paperwork and resources before fundraising events and support post-event administration.
- Help coordinate the movement, preparation and return of fundraising materials and equipment.
- Maintain shared folders, templates, calendars and administrative systems.
- Arrange meetings, circulate papers and take notes or minutes where required.
- Provide a welcoming and helpful point of contact for volunteers supporting fundraising activity.
General Administration
- Work collaboratively as part of the Income Generation teams by contributing positively to team meetings and planning.
- Work alongside colleagues in the wider administration team to ensure that core functions are covered organisation wide.
- Prioritise workload effectively and communicate early where deadlines or service standards may be at risk.
- Use organisational resources responsibly and support continuous improvement in administrative processes.
- Undertake training relevant to the role and keep knowledge of systems and procedures up to date.
