Job Purpose
The Marketing & Events Officer will support the delivery of Athletics NI’s marketing, communications, events and commercial activities, helping to increase participation, membership, event engagement, organisational profile and earned income. The postholder will have particular responsibility for day-to-day digital communications and content, event promotion and delivery, EventMark and permit administration, race returns, and membership and commercial support.
Working as part of the Commercial, Events & Marketing team, the postholder will help ensure that Athletics NI communicates professionally and consistently, delivers well-presented events, provides an effective service to clubs and event organisers, and maximises opportunities to promote athletics and the Mary Peters Track.
Main Areas of Responsibility
1. Marketing, Communications & Digital
· Create and publish engaging, accurate and timely content across Athletics NI and Mary Peters Track digital channels, including websites, email and appropriate social media platforms.
· Promote Athletics NI championships, events, programmes, courses, membership opportunities, athlete achievements and organisational activity through coordinated marketing campaigns.
· Produce news stories, event previews and reviews, athlete and club features, announcements and other content which increases the profile of athletics in Northern Ireland.
· Maintain and update website content, ensuring information is current, accessible and presented consistently.
· Prepare membership newsletters, event communications and other targeted email campaigns, maintaining appropriate databases and complying with GDPR requirements.
· Support the production of photography, video and other digital content and help develop Athletics NI’s use of short-form and emerging digital media.
· Ensure consistent application of Athletics NI and Mary Peters Track branding across digital and printed communications.
· Support clubs, where appropriate, with practical marketing and communications guidance and materials.
· Monitor digital channels and respond to routine enquiries appropriately, escalating sensitive or specialist matters where required.
2. Events & Championships
· Support the planning, promotion and delivery of Athletics NI championships, competitions and other events across Track & Field, Cross Country, Road Running and other disciplines.
· Coordinate event communications, including pre-event information, website updates, participant communications, results promotion and post-event content.
· Support event presentation and branding, including signage, programmes, sponsor visibility, athlete presentation and spectator information.
· Attend Athletics NI events and undertake event, marketing, customer-service and administrative duties as required, including evenings and weekends.
· Work with colleagues, officials, volunteers, clubs, venues and external partners to help ensure events are professionally delivered and provide a positive participant and spectator experience.
· Support the collection and reporting of event participation, engagement and commercial information to inform future planning.
3. EventMark, Permits & Race Administration
· Provide day-to-day administration of the Athletics NI EventMark and permit process, ensuring applications and supporting information are received, recorded and progressed efficiently.
· Act as a point of contact for event organisers on routine EventMark, permit and race-administration matters, providing clear information on processes, requirements, fees and timescales.
· Maintain accurate records of permitted events, EventMark status, race returns, participant information, levies and associated income.
· Follow up outstanding race returns and other required information with event organisers in a timely manner.
· Ensure approved events are accurately listed and promoted through Athletics NI channels and that relevant results are published or linked appropriately.
· Support the Marketing & Events Manager and Head of Commercial, Events & Marketing in developing EventMark as a recognised quality standard which provides value to organisers, participants and the wider sport.
· Provide administrative information and reports to support decisions on permits, EventMark standards and championship status. The postholder will not be responsible for making formal approval, standards or championship-status decisions.
4. Membership & Commercial Support
· Support campaigns to grow and retain Athletics NI and Mary Peters Track membership and increase engagement with members.
· Assist with the promotion of casual use, facility hire, events, programmes and other appropriate income-generating activity.
· Support sponsorship and commercial partnerships through activation, branding, digital content, event delivery and agreed partner benefits.
· Assist with merchandise, promotional materials, advertising opportunities and other commercial initiatives as required.
· Maintain accurate marketing and commercial databases and support the monitoring of enquiries, leads, campaign responses and income-generating activity.
· Work with colleagues across Athletics NI to identify stories, programmes and opportunities which can strengthen the organisation’s profile and support participation or income growth.
5. Performance Monitoring & Reporting
· Monitor and report on social media reach and engagement, website activity, email performance and other relevant marketing indicators.
· Support reporting on event entries and participation, EventMark and permit activity, race returns, membership trends and commercial campaigns.
· Use available data and customer feedback to identify opportunities to improve communications, event promotion and engagement.
· Provide regular information to the Marketing & Events Manager and Head of Commercial, Events & Marketing to support departmental planning and reporting.
6. General Responsibilities
· Work collaboratively with all Athletics NI departments and contribute positively to the delivery of the organisation’s strategy and annual objectives.
· Maintain a professional, helpful and customer-focused approach when dealing with athletes, clubs, coaches, officials, volunteers, event organisers, partners and members of the public.
· Work efficiently and calmly to deadlines and manage competing priorities in a busy events and communications environment.
· Participate in staff meetings, performance review, training and continuing professional development as required.
· Maintain appropriate standards of confidentiality and comply with Athletics NI policies, procedures, data-protection requirements and organisational standards.
· Undertake other reasonable duties appropriate to the nature and level of the post as required.
Working Requirements
· The role requires regular evening and weekend working in connection with Athletics NI events and activities.
· The postholder must have access to a mode of transport which enables them to carry out the duties and responsibilities of the role.
· The post may require travel throughout Northern Ireland and, occasionally, elsewhere in connection with events and organisational activity.
· Appointment will be subject to any appropriate pre-employment checks required for the duties of the role.
