Your new role
We are seeking a highly organised and customer-focused Export Sea Freight Operator to join our busy operations team. The successful candidate will be responsible for managing export sea freight shipments from booking through to final destination, ensuring a seamless service for customers while maintaining excellent communication with shipping lines, hauliers and overseas partners.
The ideal candidate will be proactive, driven and passionate about delivering exceptional customer service while contributing to the continued growth and development of the department.
Responsibilities
- Book export sea freight shipments online and via email with shipping lines.
- Contact shipping lines to check haulage availability, equipment availability, vessel space and cargo load windows.
- Liaise with hauliers to confirm transport availability and genset availability where required.
- Book collections with hauliers using merchant haulage instructions.
- Prepare and send booking confirmations to customers, ensuring that all shipment details are accurate and clearly communicated.
- Submit shipping instructions accurately and within required deadlines.
- Obtain customs documentation required to enter customs clearance and submit the UCR number withing the required deadline.
- Submit Verified Gross Mass (VGM) requests within the required shipping line deadline.
- Check Bills of Lading for accuracy and obtain customer approval prior to being issued.
- Assist with the preparation and checking of export documentation including Bills of Lading, Health Certificates, Certificates of Origin and other shipping documentation as required.
- Monitor shipments from booking through to final delivery at destination.
- Ensure shipments load and sail as planned, proactively resolving any issues or delays.
- Track shipments until arrival at the final destination, keeping customers informed throughout.
- Verify supplier invoices and investigate or resolve any invoice discrepancies.
- Handle shipment-related queries efficiently, identifying solutions while providing regular updates to customers.
- Deliver exceptional customer service and ongoing support throughout the customer’s export journey.
- Provide support to colleagues, team leaders and management to ensure the smooth running of the department.
- Ensure all work complies with company procedures, shipping line requirements, industry regulations and customer specific requirements, whilst maintaining accuracy and compliance throughout the full export process.
Preferred Skills/Experience
The successful candidate will possess:
- Previous experience in export sea freight operations.
- Previous experience in handling reefer (temperature controlled) shipments would be preferred (but not essential)
- Excellent customer service skills with a customer-first approach.
- Strong communication skills, both written and verbal.
- Excellent teamwork and collaboration skills.
- Good organisational skills with the ability to prioritise and manage multiple shipments simultaneously.
- Strong attention to detail and accuracy.
- Good problem-solving skills and the ability to work under pressure.
- IT literacy with confidence using Microsoft Outlook, Teams, Excel and Word, together with freight forwarding systems.
- The ability to work independently while also contributing positively within a team.
- Ability to work effectively under pressure while managing multiple shipments simultaneously.
- Ability to work to strict deadlines, vessel cut-off times and customer requirements, ensuring that all documentation and operational deadlines are completed accurately and on time.
- Knowledge of export regulations and compliance requirements
