Following a period of significant growth and transformation, we are looking for an exceptional Personal Assistant to support our Managing Director. This is a high-impact, high-trust role at the heart of the business. You will be the MD’s right hand, keeping him focused, organised, and effective so he can lead QTS to its next level.

Key Responsibilities:
Executive Support
- Proactively manage the MD’s diary, schedule, and daily priorities to maximise his time on strategic activities
- Act as the primary point of contact for the MD — filtering and managing correspondence, calls, and requests
- Prepare meeting agendas, briefing notes, presentations, and reports so the MD arrives fully prepared for every engagement
- Manage the MD’s email inbox, ensuring timely responses and clear organisation
- Track and remind the MD of key tasks, deadlines, and commitments
- Arrange travel, transport, accommodation, and logistics as required
- Coordinate and support company events, leadership meetings, and external engagements
- Manage the MD’s company card expenses: collation of receipts, authorisations, and monthly reconciliation
- Support the MD with people management administration including HR toolkit, absence management, probation reviews, and holiday tracking
- Serve as a key communication link between the MD and all departments, ensuring issues are escalated efficiently
Business Support
- Collate, manage, and produce key business reports and performance summaries
- Support delivery against internal and external targets and deadlines
- Assist with business projects, initiatives, and presentations as directed by the MD
- Proactively identify opportunities to improve processes, eliminate inefficiencies, and make the business work smarter
- Research and evaluate new tools, technologies, and ways of working — including AI and digital solutions — that could save time or add value across the business
Person Profile - Essential
- Proven experience in a PA, Executive Assistant, or senior administrative role
- Outstanding organisation and time management skills — able to manage multiple competing priorities with ease
- Excellent written and verbal communication skills
- High proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
- Strong diary and email management skills
- Discreet and trustworthy — comfortable handling confidential and sensitive information
- Proactive self-starter who takes ownership and anticipates needs before being asked
- Resilient and calm under pressure, with the ability to adapt quickly
- Strong attention to detail in all written and numerical work
- Forward-thinking mindset — always looking for a better, smarter, faster way to do things
- Digitally confident and comfortable adopting new tools and platforms quickly
- Genuine interest in emerging technologies, including AI, and how they can be applied in a business environment
Person Profile - Desirable
- Experience in a manufacturing, logistics, or SME environment
- Familiarity with CRM systems (HubSpot preferred)
- Experience producing business reports and presentations
- Hands-on experience using AI tools (e.g. ChatGPT, Copilot, or similar) in a professional context
- Comfortable working directly with senior leadership in a fast-moving, high-growth business
Hours of Work:
Monday – Thursday: 08:30 – 17:00 (1-hour lunch break). Friday: 08:00 – 16:00 (½ hour lunch break). Flexibility may be required, and hours are subject to change to suit the needs of the business.
