Job Overview
We are seeking a highly organised and proactive Executive Assistant to support our Executive Chef & Founder. The successful candidate will play a vital role in managing administrative tasks, coordinating schedules, and ensuring smooth communication across departments. This position offers an excellent opportunity for an individual with strong organisational skills and experience in office administration to contribute to the efficient operation of our organisation.
Responsibilities
- Manage and maintain the CEO’s calendar, scheduling appointments, meetings, and travel arrangements with precision.
- Prepare and edit correspondence, presentations, and other documents using Microsoft Office, Google Workspace.
- Handle incoming calls with professionalism, demonstrating excellent phone etiquette and communication skills.
- Organise and coordinate meetings, including logistics, agendas, and minute-taking.
- Must be able to use Xero for invoicing and Square for payments etc accurately and other organisational tools.
- Assist with general administrative duties including filing, photocopying, and maintaining office supplies.
- Liaise effectively with internal teams and external contacts to facilitate seamless operations.
- Organise additional support staff through agencies and assist the various teams as and when necessary.
- Must be able to use Square's Rota System and programme staff on a monthly basis.
- Must be able to work within timescales as necessary.
Qualifications
- Proven administrative experience, preferably in a fast-paced environment.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and be able to confidently use Xero for invoicing and basic reconciliation tasks.
- Excellent data entry skills with high accuracy and attention to detail.
- Previous clerical experience is desirable.
- Exceptional phone etiquette combined with professional communication skills.
- Fast typing speed to facilitate efficient document preparation and correspondence.
- Demonstrated ability to handle confidential information discreetly and responsibly. Pay: £26,000.00-£32,000.00 per year
