Are you an experienced administrator who takes pride in getting the details right, keeping work moving and making sure nothing gets lost between teams?
We’re looking for a Sales Support Administrator to provide essential operational support to our commercial team. You’ll process customer orders, coordinate information across departments and act as a first point of contact for enquiries received by the sales department.
This is a varied, hands-on administrative role for someone who can follow established processes while using their judgement to resolve routine issues, chase outstanding information and escalate concerns before they become bigger problems.
It is not a business-development or sales-target role and you won’t be expected to cold call, prospect for new customers or manage a portfolio of key accounts.
What you’ll be doing
Your main responsibilities will include:
- Processing sales orders received through our online portal and by email.
- Checking that customer, product, pricing, purchase order, invoicing and delivery information is complete and accurate.
- Entering and maintaining order and customer information in Zoho CRM.
- Coordinating orders with the relevant finance, operations and delivery teams.
- Monitoring order progress and keeping customers and colleagues informed of delays or changes.
- Acting as a first point of contact for incoming sales enquiries by telephone and email.
- Resolving routine order and administrative queries and directing other matters to the appropriate colleague.
- Supporting the preparation and processing of standard quotations, purchase orders and invoicing information.
- Tracking issues and enquiries until they have been resolved or formally handed over.
- Providing administrative support to our Account Managers and Head of Commercial.
- Preparing weekly updates on orders processed, outstanding actions and emerging issues.
About you
To succeed on this role, you’ll be someone who likes bringing order to a busy environment. You’ll notice when information is missing, follow things through without needing repeated reminders and communicate clearly when an issue needs input from someone else.
Once trained, you’ll be trusted to manage the day-to-day responsibilities of the role, make sensible judgements and ensure that customers and colleagues receive accurate, timely support.
You’ll need:
- Previous experience in sales administration, sales support, order processing or a similar commercial administration role.
- Strong administrative and organisational skills.
- Experience using a CRM system. Zoho CRM experience would be particularly useful.
- Confidence working with quotations, purchase orders, invoices and delivery information.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Excellent written and verbal communication skills.
- A high level of accuracy and attention to detail.
- The ability to manage competing priorities and follow up outstanding actions.
- The confidence to resolve routine issues independently while knowing when to escalate.
- A proactive and collaborative approach.
Experience working in a business-to-business or product-led environment and coordinating with finance, operations or delivery teams would be an advantage.
What this role does not involve
We want candidates to have a clear understanding of the position. This role does not involve:
- Cold calling or business development.
- Generating new business.
- Working to an individual sales target.
- Negotiating prices or commercial terms.
- Managing key customer accounts.
You may receive enquiries connected with these areas, but your responsibility will be to capture the relevant information and direct or escalate the matter to the appropriate person.
