We are looking for a confident, organised and proactive Office Administrator / Quotation Administrator to join our well-established sign company based in Evesham.
This is a busy and varied role that would suit someone who enjoys working in a fast-paced office environment and takes pride in delivering excellent customer service. The successful candidate will have previous office-based experience and strong administrative skills, although full training will be provided on our products, processes, systems and day-to-day responsibilities.
You will play an important role in supporting customers, processing orders, preparing quotations, coordinating despatches and ensuring that customer requirements are met accurately and efficiently.
We are looking for someone who is adaptable, professional and able to use their own initiative. Excellent organisational skills, attention to detail and the ability to remain calm and accurate when working under pressure are essential.
Key Responsibilities
Your duties will include, but will not be limited to:
- Handling incoming customer correspondence, enquiries and requests in a professional and timely manner.
- Preparing and providing accurate quotations to clients using the company's CRM system.
- Responding to requests for lead times, delivery information, logistical quotations and general customer queries.
- Processing and maintaining customer orders accurately through the company's internal systems.
- Monitoring order progress and keeping customers informed of any updates, changes or potential delays.
- Liaising with internal teams and relevant departments to ensure customer requirements are understood and fulfilled.
- Carrying out general office administration and other duties as required.
- Working collaboratively with colleagues while also being confident working independently and managing your own workload.
- Working to deadlines and prioritising tasks effectively in a busy environment.
Skills and Experience
The successful candidate will ideally have previous experience in an office administration, customer service, sales administration or similar role.
You will need:
Excellent computer literacy and confidence using a variety of software packages.
The ability to learn and confidently use in-house CRM and order-processing systems.
Excellent written and verbal communication and mathematical skills
A good standard of written English with strong attention to spelling, grammar and accuracy.
Excellent organisational and administrative skills.
Strong attention to detail and a thorough understanding of the importance of accuracy.
The ability to manage multiple tasks and priorities effectively.
Confidence when speaking with customers over the telephone.
A professional and friendly manner when dealing with customers and colleagues.
The ability to work calmly and accurately under pressure.
A strong team-working ethic and the ability to build productive working relationships.
