Position Overview:
Join our dynamic team as a Office Admin Assistant. You will play a key support role within PCL Net Zero, responsible for ensuring smooth daily operations in the office, managing administrative tasks, and supporting other various roles, including sales, finance, and compliance. This role will be crucial in helping the company achieve its goals of delivering renewable heating solutions and advancing its net-zero strategy.
The Office Admin Assistant will handle a variety of administrative duties while maintaining an organised and efficient workplace.
Key Responsibilities:
Administrative Support:
- Assisting in managing day-to-day office operations, and maintaining office supplies, equipment, and resources to ensure a productive work environment.
- Assisting with scheduling and coordinating internal meetings and staff activities.
- Provide administrative support including filing, document preparation, data entry, and copying.
- Maintain office records and ensure accurate filing of contracts, project documentation, and compliance paperwork.
Customer Service:
- Act as the first point of contact for all customer inquiries by phone and email, providing a professional and friendly service.
- Deal with customer queries and direct them to the appropriate team member.
- Independently schedule and coordinate jobs for the engineering team, managing diaries, appointments, and day-to-day dispatch.
- Maintain our customer database, ensuring all client information is up-to-date and correctly recorded.
Project and Operations:
- Assist project managers with administrative tasks such as managing timelines, tracking project status, and coordinating with suppliers.
- Support the operations team in preparing and managing contracts, project estimates, and client correspondence.
- Prepare project costs and take payments.
- Help manage service contracts, ensuring timely renewals and effective communication with clients.
Compliance and Finance Assistance:
- Support with basic bookkeeping tasks, including processing invoices, chasing outstanding payments, tracking expenses, and preparing financial reports.
- Help maintain accurate compliance records for each job, including certifications, warranties, and regulatory paperwork.
Qualifications and Skills:
- Proven experience as an office administrator, office assistant, or in another relevant administrative role.
- Excellent organisational and multitasking skills with a strong attention to detail.
- Proficiency in word processing.
- Strong written and verbal communication skills.
- Ability to manage competing priorities and deadlines effectively.
- Basic knowledge of office management procedures.
Desired Experience:
- Experience in the heating, renewable energy, or construction sectors is a plus.
- Familiarity with project management tools or CRM systems.
- Basic bookkeeping skills or experience working alongside a finance team.
