The Role:
We are looking to recruit a part-time Conveyancing Secretary to join our Conveyancing team at our Ulverston office.
This role offers an excellent opportunity for someone with strong administration, communication and customer service skills to provide full secretarial and administrative support to our conveyancing fee earners.
The successful candidate will assist with maintaining an efficient and high standard of conveyancing service to clients, supporting matters from opening files through to exchange and completion, in line with Poole Townsends standards and procedures.
Key Responsibilities:

Provide full secretarial and administrative support to conveyancing fee earners

Open, maintain and close client files accurately on the case management system and in accordance with administrative procedures

Process post, digital dictation, documentation and straightforward correspondence relating to client matters

Assist with the progress of conveyancing transactions by requesting, processing, monitoring and chasing information by telephone, email, letter and online systems

Liaise professionally with clients, colleagues, other solicitors, estate agents, lenders, HM Land Registry and local authorities

Provide basic updates to clients and respond to straightforward queries on behalf of the fee earner where appropriate

Assist with exchange and completion paperwork in accordance with set procedures and fee earner guidance

Support diary management, appointments and actions to help progress matters efficiently

Ensure disbursements, payments, bills and completion-related administration are dealt with accurately and in line with procedures

Maintain confidentiality and comply with GDPR, anti-money laundering procedures, regulatory requirements and company policies

Identify opportunities to promote and refer clients to other services within the firm where appropriate

Provide a friendly, professional and helpful service to clients and colleagues at all times
You will have:

Experience of working in an administrative, customer care or professional office environment

Experience of working within a conveyancing department is desirable

Excellent organisational skills and the ability to prioritise a busy workload with deadlines
-
Excellent communication skills, with confidence and clarity when dealing with clients and colleagues

A professional telephone manner and strong customer service focus

Good IT skills, including confidence using Microsoft Office and Outlook
-
Intermediate audio typing or equivalent experience is desirable

A proactive, flexible and collaborative approach, with the ability to support a small team and contribute to the smooth running of the office

Excellent attention to detail and the ability to work accurately with client information and documentation

A professional, friendly and helpful approach, with a commitment to providing excellent service at all times
