Property & Administration Coordinator - Remote/Hybrid
Location: Home-based, with planned travel mainly around Crewe and the surrounding area
Salary: 25k – 28.5k (Pro rata 3 days per week: £15,000 - £17,000, depending on property experience)
Working pattern: 3 days per week, Flexibility can be made for the right person
Reports to: Property Owner, with regular contact with both owners

The opportunity
SKope Property Investments is a privately owned residential property business with a portfolio of approximately 25 properties, mainly around Crewe and Newcastle-under-Lyme. The owners are now based in London and are looking for a highly organised local coordinator to take ownership of day-to-day property administration, communication and practical portfolio support.
This is a home-based role, but it is not a fully remote desk job. You will attend properties, inspections and viewings when required, so you must live within practical travelling distance of Crewe, hold a full UK driving licence and have reliable access to a vehicle.
The role is designed to free the owners from routine operational work so they can focus more strategically. You will be trusted to organise your own activity, keep records accurate, coordinate people and tasks, and provide concise written updates without needing constant supervision.
What you’ll do
- Organise and maintain the shared digital filing system, property records, reports, insurance information and documents required for refinancing or new acquisitions.
- Manage utility accounts across the portfolio, including void periods, newly acquired properties, tenant move-ins and the ongoing accounts for HMO properties.
- Act as the first point of contact for letting agents when maintenance issues arise, arrange contractors where required, approve routine work within an agreed limit and escalate anything outside your authority.
- Arrange and complete planned visual property inspections using agreed templates, record any issues and make sure approved remedial work has been completed to the expected standard.
- Monitor property opportunities, build relationships with local estate agents, arrange and attend viewings, gather relevant information and provide clear reports to the owners.
- Maintain professional working relationships with letting agents, estate agents, contractors, insurers and suppliers, keeping communication and actions properly recorded.
- Provide administrative support when properties are purchased, refinanced or transferred into external management, without being responsible for legal or mortgage advice.
- Manage your own diary and priorities, maintain a clear action list and provide regular written summaries so the owners have visibility without needing to oversee every task.
About you
- You keep accurate records, follow actions through and can manage several priorities without losing detail.
- You use your initiative, solve practical problems and do not wait to be reminded about routine tasks or follow-up.
- You communicate clearly and professionally by phone, email, message and in person, including with agents, contractors and suppliers.
- You are comfortable working from home, structuring your own week and asking sensible questions when a decision genuinely needs escalating.
- You can assess straightforward issues, obtain information, compare options and report back clearly without presenting yourself as a technical property expert.
- Property experience is desirable, not essential. Relevant backgrounds may include property administration, estate agency, lettings, facilities or maintenance coordination, executive assistance, operations, sales administration or organised customer service.
- You must hold a full UK driving licence, have reliable access to a vehicle and be comfortable using it for planned work visits around the local portfolio.
- Experience with digital filing, utility accounts, contractor coordination, inspections, insurance administration, refinancing documents or property viewings.
What’s in it for you

- Business mileage will be reimbursed at 55p per mile and the final business travel policy will be confirmed before appointment.
