Job Summary
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will be responsible for ensuring the smooth operation of daily administrative tasks, supporting staff and clients, and maintaining efficient office workflows. Duties
- Manage incoming calls with professional phone etiquette and direct them appropriately
- Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry tasks accurately using Microsoft Office and our Digital Care Software
- Prepare reports, correspondence, and other documents as required
- Coordinate appointments, meetings, and calendar schedules for staff members
- Assist with invoicing, billing, and basic bookkeeping activities using QuickBooks
- Support team members with administrative tasks such as photocopying, scanning, and mailing
- Maintain office supplies inventory and reorder stock as necessary
- Ensure the office environment remains clean, safe, and organised at all times
- Provide on-call support to staff outside of office hours
Qualifications
- Proven office experience with strong organisational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience in a care setting
- Excellent typing speed and data entry accuracy
- Strong communication skills with professional phone etiquette
- Previous clerical or administrative experience preferred
- Ability to multitask efficiently in a fast-paced environment
- Good attention to detail and organisational ability
- Familiarity with general office equipment such as printers, scanners, and telephones
