Job Summary
We are seeking a proactive, adaptable and highly organised person to join our small, but growing head office team for our online dental nurse training business. The ideal candidate will play a key role in completing daily operations by managing administrative tasks efficiently and in line with our organisational values, professional, personal, possible.
This is a varied and rewarding role where no two days are exactly the same. You’ll combine strong administrative abilities with outstanding customer care, acting as a friendly and reliable point of contact for our students while ensuring our internal operations run efficiently.
This position requires proficiency in various office software, excellent phone etiquette, and strong organisational skills to ensure smooth office functioning.
The role is perfect for someone with technical abilities and either proficient in Mailchimp or keen to grow our ECRM business.
Alongside administration and customer support, you’ll also have the opportunity to develop or enhance your skills in ECRM and email marketing, an exciting area of the business that is currently established but we’re looking to grow and develop.
What makes this role different?
This isn’t simply a traditional administration role.
We’re looking for someone who enjoys taking ownership, spotting ways to improve things and getting involved.
You might spend part of your morning responding to student enquiries and managing a shared inbox, then switch to updating a spreadsheet, preparing an email campaign, helping solve an operational issue or working on another area of the business with another member of the team.
We’re particularly keen to find someone who is comfortable with technology and excited to learn.
If you already have experience with Mailchimp, ECRM, CRM systems or email marketing, that’s fantastic. If you don’t, that’s okay too.
We can teach you the systems. What matters most to us is that you are enthusiastic, organised, curious, have excellent written communication skills and want to learn.
Your role
Customer Support
You’ll be an important point of contact for our students, helping them throughout their training journey.
You’ll:
- Respond to student enquiries by phone and email in a friendly, professional and helpful way.
- Manage shared inboxes and ensure enquiries are dealt with promptly.
- Provide clear and accurate information to students and colleagues.
- Handle challenging conversations and complaints calmly and confidently.
- Build positive relationships with our students and always aim to provide an excellent customer experience.
- Communicate with warmth, professionalism and empathy.
Administration & Operations
This will include:
- Managing day-to-day administrative processes efficiently and accurately.
- Maintaining accurate records, databases and online filing systems.
- Completing data entry, mail merges and general administration.
- Working confidently with Excel, including larger spreadsheets and databases.
- Supporting busy periods, including exam periods, by helping to prioritise workloads.
- Managing correspondence with internal and external organisations.
- Supporting the team with a variety of administrative and operational projects.
- Coordinating office supplies, stock and orders where required.
- Reviewing existing processes and suggesting ways we could work more efficiently.
- Keeping on top of tasks and making sure nothing gets missed.
ECRM & Email Marketing
This is an exciting part of the role and an area we would like to develop further.
You’ll have the opportunity to:
- Create and send email campaigns to our students.
- Work with Mailchimp or similar email marketing platforms.
- Maintain and manage customer email lists and databases.
- Support our ECRM strategy and customer communications.
- Help develop effective and engaging email communications.
- Look at how we communicate with customers and suggest ways we could improve.
- Learn more about email marketing, customer journeys and ECRM over time.
Experience with Mailchimp or ECRM is a bonus, not a requirement.
We’re much more interested in finding someone who is confident with technology, has excellent written English and is excited by the opportunity to learn.
What we’re looking for
You may already have experience in administration, customer service, office coordination or operations.
Or perhaps you’re in an administrative role now and are looking for your next step, a role where you can broaden your skills and become more involved in the wider business.
You’ll ideally have:
- Previous experience in an administration, customer service, operations or similar role.
- Excellent organisational skills and the ability to prioritise your workload.
- Strong attention to detail and a high level of accuracy.
- Good knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Confidence working with spreadsheets and databases.
- Excellent written English, including spelling, grammar and tone.
- A confident, friendly and professional telephone manner.
- Strong communication skills and the ability to communicate with a wide range of people.
- The ability to remain calm and positive when dealing with challenging situations.
- Good computer skills and the ability to learn new systems quickly.
- Accurate and efficient typing skills.
- A proactive “can-do” attitude.
- The ability to work independently while also being a supportive member of a small team.
