Job Summary
We are seeking a professional, compassionate, and highly organised Receptionist/Administrator to join our team in a clinical environment.
This role is responsible for providing a welcoming and efficient front-of-house service for patients, visitors, and healthcare professionals, while supporting the smooth day-to-day operation of the practice. The ideal candidate will have strong administrative and communication skills, experience working in a confidential setting, and the ability to remain calm, empathetic, and professional in a fast-paced healthcare environment.
Duties
- Welcoming patients, visitors, and healthcare professionals in a courteous, professional, and compassionate manner
- Managing incoming calls, emails, and correspondence efficiently while maintaining confidentiality at all times
- Booking, rescheduling, and coordinating patient appointments using clinical scheduling systems
- Maintaining accurate patient records and ensuring all documentation is updated and filed correctly
- Handling patient enquiries sensitively and directing them to the appropriate clinician or department
- Processing patient payments, issuing receipts, and accurately recording financial transactions in line with practice procedures
- Supporting clinicians and healthcare staff with administrative duties as required
- Processing referrals, correspondence, and other clinical documentation in accordance with practice procedures
- Assisting with data entry, scanning, photocopying, and document management
- Ensuring compliance with GDPR, patient confidentiality requirements, and organisational policies
- Maintaining a clean, organised, and welcoming reception and waiting area
Qualifications
- Previous experience in a receptionist, administrative, healthcare, or clinical support role is desirable
- Experience handling payments, cash reconciliation, and basic financial administration is advantageous
- Excellent organisational and time-management skills with the ability to prioritise competing tasks
- Strong verbal and written communication skills with a professional and empathetic approach
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn clinical management systems
- Understanding of patient confidentiality, data protection, and safeguarding principles
- Ability to work effectively under pressure in a busy clinical environment
- Strong attention to detail and a high level of accuracy when managing records, payments, and documentation
- Flexible, reliable, and able to work independently as well as part of a multidisciplinary team
