Main purpose of job:
The Operations Agent will play a key role in the day-to-day coordination and management of fine art shipments and logistics operations. The successful candidate will be responsible for ensuring the smooth movement of artworks and high-value consignments, while delivering exceptional service to clients and maintaining compliance with operational and customs requirements.
This is a fast-paced and varied role requiring excellent organisational skills, attention to detail, and the ability to manage multiple priorities.
Key Responsibilities
· Coordinating domestic and international fine art shipments by air, sea, and road
· Managing bookings with airlines, shipping lines, hauliers, and specialist transport providers
· Liaising with galleries, museums, auction houses, private clients, and agents
· Tracking shipments and proactively resolving operational issues or delays
· Coordinating collections, deliveries, installations, and storage requirements
· Ensuring compliance with customs regulations and company procedures
· Maintaining accurate operational records and shipment updates
· Working closely with warehouse teams, technicians, and drivers to ensure smooth operational delivery
· Providing a high level of customer service and communication throughout each project
Skills and Experience
- Previous experience within freight forwarding, logistics, shipping, or fine art logistics preferred
- Strong organisational and administrative skills
- Excellent attention to detail and ability to manage multiple tasks simultaneously
- Experience preparing shipping and customs documentation would be advantageous
- Knowledge of the art world and fine art logistics industry preferred
- Strong communication and relationship management skills
- Ability to work effectively under pressure and to tight deadlines
- Proactive, flexible, and solution-focused approach
- Competent IT skills including Microsoft Office and operational systems
- Full UK driving licence preferred
