The Role
The Operations Administrator is responsible for providing high-quality administrative and customer support for the preparation, processing, and management of legal documentation.
The role focuses on ensuring documentation is accurate, compliant, and completed within agreed service standards while delivering exceptional customer service and supporting the smooth operation of the wider team.
Working collaboratively with colleagues and stakeholders, you will maintain accurate records, respond to enquiries, and support the efficient delivery of services in line with company standards, policies, and procedures.
Key Responsibilities
Legal Documentation & Administration
- Prepare, process, draft, and maintain legal documentation accurately and within agreed service standards.
- Ensure all records, files, and documentation are maintained in accordance with company procedures.
- Support the preparation and administration of legal services including Wills, Lasting Powers of Attorney (LPAs), Trusts, and related documentation.
- Update CRM and case management systems accurately and promptly.
- Monitor workflows and manage workloads to ensure deadlines and service levels are achieved.
- Maintain accurate filing systems and documentation records.
Customer Service
- Handle inbound and outbound customer communications professionally and efficiently.
- Provide excellent customer service via telephone, email, and other communication channels.
- Respond to customer enquiries and provide updates on the progress of documentation and cases.
- Escalate complex queries or issues to the Team Leader where appropriate.
Compliance & Quality
- Ensure all documentation complies with company policies, procedures, and regulatory requirements.
- Maintain confidentiality when handling sensitive customer and legal information.
- Support quality assurance processes and continuous improvement initiatives.
- Adhere to GDPR and data protection requirements at all times.

- Basic understanding of legal documentation and document control processes.
- Knowledge of record-keeping and information management practices.
- Proficiency in Microsoft Office applications, particularly Word and Excel.
- Strong organisational skills and attention to detail.
- Understanding of professional communication standards.
Desirable Knowledge, Skills & Experience
- Previous experience within a legal, professional services, financial services, or other regulated environment.
- Experience supporting legal documentation processes.
- Experience using CRM or case management systems.
- Knowledge of estate planning, Wills, Lasting Powers of Attorney, or Trusts.
