About the Role
We are looking for a friendly, organised and reliable Accounts & Administration Assistant to join our busy local estate agency.
This is a forward-facing office role, so you will be confident and professional when dealing with clients, customers, contractors and members of the public, both face-to-face, over the telephone, by email and through written correspondence.
You will be responsible for responding to enquiries promptly and professionally, ensuring clients and customers receive a friendly and helpful service.
Alongside your accounts and administrative responsibilities, you will be someone who is happy to get involved and take on a variety of tasks as required to support the wider business.
No two days are necessarily the same, so we are looking for someone who is flexible, proactive, confident and able to prioritise effectively in a busy environment.
Key Responsibilities
- Managing day-to-day accounts administration
- Processing invoices and general financial records
- Using Sage Accounts for bookkeeping and accounts-related tasks
- Maintaining and updating Excel spreadsheets
- General office and administrative duties
- Answering telephone calls and dealing confidently and professionally with enquiries
- Responding to enquiries and correspondence by email and in writing
- Meeting and greeting clients and visitors
- Arranging and booking property viewings and liaising with clients and negotiators to coordinate appointments
- Maintaining accurate and well-organised records
- Preparing documents, correspondence and reports as required
- Liaising with clients, contractors and other contacts as necessary
- Assisting the wider estate agency team with various administrative tasks
- Taking on additional duties and responsibilities as required by the business
About You
The successful candidate will ideally have:
- Previous experience in an accounts and/or administration role
- Knowledge and practical experience of Sage Accounting/Sage Accounts
- Strong Excel and Microsoft Office skills
- Excellent attention to detail and accuracy
- Good organisational and time-management skills
- A confident and professional telephone manner
- Excellent written and verbal communication skills
- Confidence when responding to enquiries over the telephone, by email and through written correspondence
- A friendly, approachable and helpful personality
- Confidence in arranging and coordinating property viewing appointments
- The ability to work independently as well as part of a team
- A flexible attitude and willingness to take on different responsibilities
- The ability to remain calm and organised when working in a busy office
- A positive, can-do attitude and willingness to help wherever needed
