This post leads and sets to work the Documentation Management Team including contract partners.
The role of document team leader provides the site with an effective documentation management centre in pursuit of delivering excellence within the field of Documented Information. Communicate effectively with all site functions in matters of documented information.
Pay, benefits and culture
The salary range associated with this role is £40,084 - £71,786. You’ll be appointed based on the parameters outlined in the Company Agreement as well as your existing salary, competence, experience and qualifications. What you’ll be doing

You will manage the Document Centre/Archives on a day-to-day basis to ensure documented information procedures are implemented and complied with, activities are carried out with full regard to site licence requirements, statutory regulations, company and local directives, procedures and Safety Rules and to ensure customer focus.

Manage and develop the documented information processes in line with best practice and continuous improvement.

Develop, load and maintain documents on CDMS to ensure that approved documents are readily available.

Manage the site record schedule and index / store documented information to ensure that it is easily retrievable.

Protect master documents to ensure they are safely secured and easily retrievable in accordance with Company requirements.

Provide support to the Emergency Control Centre (ECC) and Emergency Response Centre (ERC) and maintain documentation required by them to ensure that current documents are available when they are operational.

Provide training and support for Work Management Process (WMP) document management users.

Make registered copy holders aware of new document issues.

Respond to requests from internal and external organisations concerning documents and provide documents in accordance with copyright and security classification.

Maintain an overview of the issues pertinent to the documentation service.

Act as customer interface for work that does not come in through formal projects.

Ensure that team resources, processes and activities and continuously reviewed and optimised to meet business objectives.

Ensure team members are appraised, trained and developed in line with business needs.

Managing KPIs and attending relevant meetings (e.g. Procedure Review Group, Configuration Management Working Group) and being an active member of the Documented Information Peer Group.
Who you are
The post holder will hold as a minimum, a relevant national qualification e.g. City & Guilds in Business Administration or equivalent. Suitable experience will also be required
You should be proficient in AMS – Document Control, Records Management, Action Tracking, CAP and Business Objects
Proficient in Microsoft Office – Word, Excel, PowerPoint
Proficient in CDMS
Have a detailed knowledge of documentation quality and control issues
Demonstrates knowledge of records management
Demonstrates knowledge of internal business and the external marketplace
Knowledge of process management
Demonstrates a clear understanding of the procedures and controls required to maintain compliance with statutory legislation and site licence conditions.
