Responsibilities
- Manage daily office operations, including greeting visitors, handling incoming calls with professional phone etiquette, and directing inquiries appropriately
- Maintain organized filing systems, both digital and physical, for easy retrieval of documents and records
- Perform data entry tasks accurately using tools like Microsoft Office, Google Workspace, and QuickBooks to update records, invoices, and reports
- Coordinate appointments, meetings, and schedules for team members to optimize productivity
- Assist with invoicing, billing, and expense tracking by utilizing QuickBooks and other accounting tools
- Support administrative projects such as preparing presentations, drafting correspondence, and managing office supplies inventory
- Ensure a welcoming environment by maintaining cleanliness and organization of shared spaces
Experience
- Proven office experience demonstrating strong organizational skills and multitasking abilities
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry software
- Previous clerical or administrative experience with a focus on customer service and phone etiquette
- Familiarity with accounting or bookkeeping software such as QuickBooks is preferred
- Excellent typing skills for efficient document creation and communication
- Strong organizational skills with the ability to prioritize tasks effectively
