Job Description: Centre Co-Ordinator
Contract: Fixed-term maternity cover
Hours: 16 hours per week (two posts covering this role between them)
Reports to: Managing Director
Location: 10a Belmont Industrial Estate, Belmont, Durham, DH1 1TN
This is a fixed-term maternity cover role, providing cover for the Centre Supervisor/Receptionist during a period of maternity leave. The anticipated duration will be discussed at appointment and may vary depending on the substantive postholder’s return-to-work arrangements.
Centre opening hours: 7 days per week — 9am to 8pm Monday to Friday and 9am to 5pm Saturday and Sunday. Hours will be worked on a rota basis within these times.
Role Overview
As a Centre Co-Ordinator, you must have a genuine love of dogs and be confident around all breeds, sizes and temperaments. Every day is different — from excited regulars and muddy paws to nervous first-timers who need a little extra reassurance.
It’s a busy, fast-paced environment. You’ll be juggling customers, telephone calls, bookings and the general day-to-day activity of the centre, so you’ll need to remain calm, organised and good-humoured when things get hectic.
You will be responsible for reception and administrative duties, providing a friendly and professional first point of contact for customers whether face to face, by telephone, email or social media.
The role also carries day-to-day responsibility for overseeing reception, daycare and volunteer staff during your shift, helping ensure tasks are completed and escalating any conduct, welfare, customer or safety concerns to the Managing Director.
When the Managing Director is not on site, you will act as the eyes and ears of the centre, using good judgement and reporting anything requiring management attention.
Mighty Mutt House provides doggy daycare, grooming, hydrotherapy, water treadmill, training and puppy socialisation all under one roof. We’re a small, close-knit team and everyone is expected to muck in and help each other when needed.
Key Duties
- Acting as the first point of contact for customers, clients and suppliers — face to face, by telephone and email.
- Greeting customers, checking dogs in and out, managing bookings and taking payments.
- Responding to customer questions and providing accurate information about our services.
- Maintaining filing systems, databases and administrative records.
- Processing invoices and tracking receipts.
- Ordering stationery, office supplies, staff uniforms and other centre supplies.
- Managing staff rotas and collating timesheets.
- Carrying out risk assessments for volunteers and supervising them during shifts.
- Providing day-to-day oversight of reception and daycare staff, escalating any conduct, welfare or safety concerns to the Managing Director.
- Maintaining building security and recording visitors.
- Opening and closing the centre as a key holder when required.
- Helping keep the centre clean, tidy and presentable as part of the wider team — expect plenty of dog hair and muddy paws!
- Creating and posting regular content across Mighty Mutt House social media channels.
- Keeping the retail shop stocked, priced, organised and well presented.
- Monitoring the general day-to-day running of the centre and reporting significant customer, staff, operational or maintenance issues to the Managing Director.
- Undertaking other reasonable administrative and centre duties as required.
Person Specification
- Genuine love of dogs and confidence around different breeds, sizes and temperaments.
- Previous reception, administration and/or supervisory experience.
- Experience working with dogs is essential.
- Confident overseeing staff and volunteers during a shift.
- Calm, organised and able to manage competing priorities in a busy environment.
- Reliable, responsible and comfortable using initiative.
- Friendly, resilient and good-humoured.
- Good written and verbal communication skills.
- Comfortable using booking systems, email and social media.
- Willing to muck in and work as part of a small team.
- Animal Management or a related qualification is desirable but not essential.
Terms
- Fixed-term maternity cover contract.
- 16 hours per week — days and hours to be confirmed.
- Pay rate: to be confirmed.
- Subject to standard Mighty Mutt House probationary terms.
- The anticipated end date will be confirmed at appointment and may change depending on the substantive postholder’s return from maternity leave.
Pay: £12.71-£13.21 per hour
