Overview
The Merchandising Admin Assistant at TM Lewin will provide essential administrative support across the product lifecycle from product setup and purchase orders through to delivery tracking, sales reporting and sample management.
The role will take ownership of accurate departmental administration, helping the Buying and Merchandising teams operate efficiently and ensuring product information, orders, samples and delivery dates remain organised and up to date.
Key Responsibilities
Purchase orders and product setup
- Raise purchase orders accurately and within agreed deadlines.
- Process purchase order amendments including changes to quantities, costs, delivery dates and cancellations.
- Set up new products and maintain product information across internal systems.
- Check product data for accuracy, including descriptions, sizing, colours, costs and supplier details.
- Maintain seasonal range plans, line lists and order records.
- Support barcode, label and packaging administration.
Critical path and supplier management
- Monitor the departmental critical path and highlight upcoming deadlines or delays.
- Chase suppliers for order confirmations, samples, approvals and production updates.
- Track ex-factory dates and delivery schedules.
- Keep the team updated on late orders or changes to agreed dates.
- Arrange couriers and maintain accurate records of sample and shipment tracking.
- Support invoice, shipping document and customs queries.
Operational merchandising administration
- Produce regular sales, stock and intake reports.
- Update weekly trading information and departmental trackers.
- Monitor sales and stock performance, highlighting low stock, overstocks and unusual sales movements.
- Track incoming deliveries and update expected intake dates.
- Support the Merchandiser with ad hoc reporting and analysis.
Branch merchandising administration
- Support the allocation of new product to stores in line with agreed store grades and launch plans.
- Maintain accurate records of store grading, ranging and product eligibility.
- Monitor stock levels and size availability by store, highlighting gaps and opportunities to the Merchandiser.
- Review store replenishment reports and support the timely movement of stock into branches.
- Monitor the availability of key lines and sizes across the store estate.
- Support promotional launches and markdowns by checking that the correct products and stock are available in each store.
- Respond to routine stock and product queries from stores, escalating wider issues where required.
Samples and product organisation
- Receive, organise and maintain product samples, rails and cupboards.
- Support fit sessions by preparing samples and recording actions.
- Maintain an organised archive of approved samples, lab dips, fabric swatches and trims.
General team support
- Prepare information and samples for range reviews, sign-offs and supplier meetings.
- Take notes and maintain action lists following key meetings.
