The Role
This is a varied and hands-on role, ideal for someone who enjoys being at the heart of a small, busy team. You will be the first point of contact for clients and cleaning staff, handling the day-to-day administration that keeps our operations running efficiently. No two days are exactly the same, and you will have the opportunity to make the role your own.
Key Responsibilities
Client & Customer Administration
- Answer incoming calls and respond to emails from clients in a prompt, friendly, and professional manner.
- Manage client enquiries, quotation requests, and new client onboarding.
- Maintain and update client records, ensuring all information is accurate and up to date.
- Handle client feedback, complaints, or service queries, escalating where necessary.
Scheduling & Operations
- Coordinate and manage staff rotas and cleaning schedules, ensuring the right teams are in the right places.
- Liaise with cleaning operatives regarding their shifts, locations, and any changes to bookings.
- Arrange cover for absences and communicate scheduling changes efficiently.
General Office Administration
- Manage incoming and outgoing post and general office correspondence.
- Maintain organised filing systems, both digital and paper-based.
- Order office and cleaning supplies as needed.
- Support the owner/manager with any administrative tasks as required.
- Prepare job sheets, Risk Assessments and Method Statements
Person Specification
Essential
- Previous experience in an administrative or office support role.
- Strong organisational skills with the ability to manage a busy and varied workload.
- Excellent telephone manner and written communication skills.
- Competent in Microsoft Office (Word, Excel, Outlook) or equivalent.
- Reliable, punctual, and self-motivated with a positive attitude.
- Able to work independently and use initiative when needed.
- A friendly and approachable manner when dealing with clients and colleagues.
Desirable
- Experience working in a cleaning, facilities management, or trade services environment.
- Experience coordinating staff rotas or schedules.
- Knowledge of the North Yorkshire area is an advantage.
