Supply Chain AdministratorAbout the Role
Nottingham Distribution and Fulfilment Services is looking for a highly organised and detail-focused Supply Chain Administrator to support purchasing, stock coordination, supplier communication, and day-to-day supply chain activities.
The successful candidate will help ensure that materials, products, and information move efficiently through the supply chain by maintaining accurate records, monitoring orders, coordinating with suppliers, and supporting internal logistics and warehouse teams.
This role is ideal for someone with experience in supply chain administration, procurement support, logistics, inventory control, or order management who enjoys working in a fast-paced operational environment.
Key Responsibilities
- Process and maintain purchase orders, supplier records, and supply chain documentation.
- Monitor open orders and follow up with suppliers regarding delivery dates and outstanding items.
- Maintain accurate records of stock availability, purchase activity, and incoming deliveries.
- Coordinate with warehouse, procurement, logistics, and customer service teams.
- Assist with stock planning and inventory monitoring.
- Update ERP or supply chain systems with accurate order and delivery information.
- Investigate discrepancies involving purchase orders, deliveries, quantities, and invoices.
- Support supplier onboarding and maintain required documentation.
- Prepare routine supply chain reports and operational updates.
- Monitor expected delivery dates and escalate potential delays.
- Assist with maintaining minimum stock levels and replenishment information.
- Support the preparation of forecasts and basic demand-planning data.
- Maintain organised electronic records for suppliers, orders, and deliveries.
- Liaise with internal teams to confirm material and product requirements.
- Support invoice matching and resolve basic purchasing discrepancies.
- Assist with the coordination of urgent or priority orders.
- Track supplier performance information where required.
- Help identify opportunities to improve administrative processes within the supply chain.
- Ensure supply chain records comply with internal procedures and documentation standards.
- Provide general administrative support to procurement and logistics activities.
What We Are Looking For
- Previous experience in supply chain administration, purchasing, procurement, logistics, inventory, or order management.
- Strong organisational skills and excellent attention to detail.
- Experience working with purchase orders, supplier documentation, or stock records.
- Good working knowledge of Microsoft Excel, Word, and Outlook.
- Confidence working with ERP, warehouse, or supply chain management systems.
- Ability to manage several priorities and deadlines at the same time.
- Strong written and verbal communication skills.
- Ability to communicate professionally with suppliers and internal stakeholders.
- Good numerical and data-entry accuracy.
- Comfortable investigating discrepancies and following issues through to resolution.
- Experience in distribution, manufacturing, retail, wholesale, or fulfilment would be beneficial.
- Familiarity with inventory planning or procurement processes would be advantageous.
Pay: £40,000.00 per year
