The purpose of the role is to provide efficient, effective and organised technical support for the Corporate Building Team’s management and administration service. Contribute positively to the CBT in attaining its financial and work delivery targets by administrating and assisting with the ‘management works plan’ and project reports associated with the CBT’s core work business areas and also maintain and enhance, internal and external, CBT stakeholder relationships.
The main areas of responsibility include the following
- Allocate reactive works and monitor progress via the BWD Concerto jobbing system- evaluate and allocate works for the CBT reactive team. Review and challenge KPI target attainment. Monthly reporting to the CBT manager will be required to ensure review and maintenance.
- Providing progress reports, both target delivery and monetary, to the CBT management to ensure robust monitoring can be provided to achieve both income and work delivery targets.
- Take ownership of inputting and updating the CBT ‘compliance monitoring system’ via MS excel.
- Make appointments with compliance stakeholders to ensure the smooth and timely delivery of mandatory services across BWDBC’s building portfolio. Provide monthly reports to the CBT manager.
- Raising, monitoring and closing jobs along the ‘lifespan’ of a work order using both the Concerto and Civica IT systems. Report to be included in the Monthly review with the CBT Manager.
- Assist with management administration responsibilities- collate CDM, risk management and project safety plans.
- Collaborate with management to register and update the CBT plant and tool inventory. Manage and control the ‘day to day’ booking out service of communal equipment via an electronic excel system. Ensure that all kit has been kept in good repair via checks upon its return, keeping booking records up to date.
- Record and order internal certification in line with HSE guidance. I.e. - Ladder checks, basic PAT’s. Create and maintain electronic register for management review.
- Take ownership of the weekly logistic running of the CBT call out service. Email all stakeholders and collate necessary paperwork.
- Be able to interrogate and collate works from the IDOX IT management system.
- Allocate works to the CBT adaptation team and keep records of job progression and confidential client information.
- Be proficient in customer and colleague relations when dealing with work relationships and day to day communication via both verbal and written methods.
- Administer Occupational Health records and be involved in the booking process.
- Deal with procurement issues to ensure best value for BWD and the CBT by obtaining quotes, researching product requirements and raising purchase orders.
- Complete any other administration type task that may be required for the CBT business service.
