About us
Mercury Automated Solutions Limited is a Cornwall-based engineering company delivering automated systems and site services to commercial, industrial and public sector clients across the South West. We are SSIP and SafeContractor accredited, and quality documentation matters to us as much as the work we carry out on site.
We are a close-knit team. As the business grows, we are looking for one organised, capable person to take ownership of the office so that our engineers can stay focused on the job in front of them.
## The role
This is the central administrative role in the business. You will keep our engineers scheduled and supplied, and keep the commercial side of the business moving — preparing quotations, raising invoices, chasing what is owed and making sure every job is properly documented from first enquiry to final payment.
It is a varied, hands-on role with real ownership and plenty of autonomy. If you enjoy being the person who knows where everything is and makes sure nothing slips, you will do well here.
## Key responsibilities
### Scheduling and job coordination
- Plan and book engineer visits, balancing planned maintenance, installations and reactive callouts
- Maintain the job diary and keep engineers informed of daily schedules and any changes
- Raise job sheets, works orders and site paperwork, and chase their return and completion
- Coordinate access, permits and site inductions with clients ahead of visits
- Order materials, parts and consumables, track deliveries and manage van and workshop stock
- Log completed jobs, file certificates and service records, and issue reports to clients
- Act as the first point of contact for customers by phone and email, keeping them updated on progress
### Finance and invoicing
- Prepare quotations and proposals from engineer notes and pricing guidance
- Raise sales invoices promptly and accurately against completed jobs and contracts
- Process purchase orders and supplier invoices, and reconcile them against deliveries
- Run credit control — monitor aged debt, chase overdue accounts and escalate where needed
- Record expenses, fuel and subsistence claims, and mileage
- Maintain accurate records in our accounting software and liaise with our external accountant
- Support month-end reporting and help keep records ready for VAT returns
### General office administration
- Keep company records, certifications, insurances and accreditation paperwork current
- Maintain filing systems, both digital and paper, so information can be found quickly
- Support the Managing Director with correspondence, document preparation and general administration
- Help keep health and safety documentation, RAMS and training records up to date
## What we are looking for
### Essential
- Proven administrative experience in a busy office, ideally two years or more
- Confident with invoicing, purchase orders and basic bookkeeping tasks
- Strong organisational skills and the ability to juggle competing priorities without losing detail
- Clear, professional communication on the phone, by email and face to face
- Competent with Microsoft Office, particularly Excel and Outlook, and quick to learn new systems
- Accurate and methodical, with genuine attention to detail
- Able to work independently, use initiative and take ownership of your workload
- Discreet and trustworthy when handling confidential company and customer information
- Able to travel reliably to our Lanner office
### Desirable
- Experience in construction, engineering, facilities management, security systems or a similar trade environment
- Working knowledge of accounting software such as Xero, Sage or QuickBooks
- Experience of scheduling field-based engineers or service teams
- Familiarity with credit control and aged debt processes
- Awareness of health and safety documentation, RAMS or CDM paperwork
- Full UK driving licence
