Job Title: Competitions & Events Administrator
Reporting to: Competitions Manager
Location: National Shooting Centre, Bisley
Hours of Work: Office based, 40 hours (8-5pm Monday to Friday), with occasional event weekend work
Overall Purpose of the Role:
The National Rifle Association hosts a busy annual programme of competitions, events and training courses at the National Shooting Centre, Bisley. The Competitions & Events Administrator will support the Competitions Manager and wider team in the effective administration, preparation and delivery of these events. The role combines office-based administration and customer communication with practical, hands-on event support.
The successful candidate will be highly organised, methodical and customer focused, with excellent attention to detail and the ability to work confidently both independently and as part of a team. They will be comfortable working in a varied environment where priorities can change according to the requirements of upcoming competitions and events.
Key Areas
Administration:
· Accurately capture competitor entries from the bespoke booking system onto spreadsheets and other relevant systems, ensuring all information is complete and accurate
· Monitor event timelines and deadlines, ensuring guest numbers, competitor information and other key requirements are received and actioned on time
· Manage and maintain online booking systems in line with competition and event requirements
· Follow up on outstanding information, payments or actions to ensure participant and event requirements are met within agreed deadlines
· Act as a first point of contact for competition and event enquiries, providing accurate, courteous and timely responses by telephone and email
· Maintain excellent communication with competitors, clients, guests and internal teams throughout the booking and event process
· Assist with preparing pre and post event communications for competitors and staff
· Maintain accurate and up to date event files, records and spreadsheets, ensuring changes to entries, staffing and other requirements are clearly recorded and communicated
· Liaise with internal departments to ensure all teams have clear and timely information about upcoming events and their specific requirements
Financial Administration
- Ensure event-related charges are accurately recorded and invoiced
- Monitor outstanding payments and proactively follow up overdue amounts by telephone or email
- Respond to payment queries and resolve straightforward discrepancies where appropriate
- Escalate complex payment queries, disputed charges or overdue accounts to the Competitions Manager as required
Event Delivery: Assist with the professional facilitation of competitions and events
- Supporting event set-up and breakdown, including arranging furniture, tables, chairs and other event equipment
- Assisting with reception and competitor/guest registration as required
- Providing general administrative and practical support during events
- Assisting with results input and other competition administration
- Providing a welcoming, professional and helpful experience to competitors, clients and guests
- Responding appropriately to queries and issues that arise during events and escalating matters to the appropriate member of staff when necessary
- Supporting post-event clear-up, ensuring equipment and event areas are left clean, organised and ready for future use
- Contributing to post-event discussions, follow-up actions and continuous improvement
Awards and Prizegiving: Assist with the maintenance, preparation and presentation of silverware, trophies and other awards
· Assist with the organisation and maintenance of the awards and trophy inventory
· Clean and prepare silverware ahead of prizegiving ceremonies
· Assist with the set-up and smooth running of prizegiving ceremonies
· Ensure award receipts and relevant documentation are prepared and signed by winning competitors
· Maintain accurate records of awards issued and outstanding presentations
· Secure and appropriately store uncollected awards
General Responsibilities
- Work collaboratively with colleagues across the organisation to ensure competitions and events are delivered to a consistently high standard
- Promote and signpost NRA and NSC services in line with organisational standards
- Undertake other reasonable duties consistent with the nature and level of the role as required by the Competitions Manager

- A positive and flexible attitude, with a willingness to assist wherever required to ensure events are delivered successfully
- Strong administrative and organisational skills, with the ability to prioritise a varied workload in a busy environment
- Excellent IT skills with confidence using standard Office software (confidence in google sheets desirable)
- Ability to work safely and responsibly with event equipment and tools where required for trophy, award and event-related activities
- Ability to work both behind a desk and in a practical, hands-on event environment
- Ability to work independently, use initiative and take ownership of allocated tasks
- An enthusiasm for learning and developing knowledge of event facilitation
Pay: £26,500.00-£27,000.00 per year
