Customer Service & Dispatch Coordinator
The customer service and Logistics Coordinator is responsible for delivering excellent customer service while coordinating the efficient movement of goods from order receipt through to delivery. The role supports customers, the sales team and logistics operations by ensuring orders are processed accurately, transport is effectively planned and customers are kept informed throughout the order journey.
Key Responsibilities
Customer Service
· Process customer orders accurately and efficiently via telephone, email and ERP systems
· Prepare quotations and follow up with customers where appropriate
· Respond promptly to customer enquiries, providing product information, pricing and order updates.
· Manage customer accounts, maintaining accurate records within the CRM and ERP systems
· Handle customer complaints professionally, ensuring timely resolution and escalation where necessary.
· Process customer payments where applicable
· Provide proof of delivery and other documentation when requested
· Support rea Sales Managers with quotations, follow up activities and customer communications
· Build and maintain positive customer relationships through excellent service
· Ensure customer expectations are met by providing regular updates on order status and delivery schedules.
Dispatch Coordination
· Coordinate daily transport and delivery schedules to ensure products are delivered efficiently and on time
· Liaise with transport providers, warehouses and third-party logistics partners to coordinate collections and deliveries
· Monitor shipment progress and proactively communicate any delays or issues to customers and internal teams
· Analyse transport and delivery performance, identifying opportunities to improve efficiency and service levels
· Ensure compliance with company procedures, transport regulation and health and safety requirements
· Monitor transport KPIs and prepare reports for management
· Work closely with warehouse teams to ensure orders are despatched accurately and on schedule
· Coordinate return-to-stock processes and associated documentation.
· Obtain, maintain and issue Proofs of Delivery (POD’s) from transport providers, responding promptly to customer and internal requests.
Essential Skills:
· Previous experience in customer service, sales administration or logistics coordination
· Excellent communication skills, both written and verbal
· Strong organisational skills with the ability to prioritise workload effectively
· High level of accuracy and attention to details
· Excellent telephone manner and customer service skills
· Strong IT skills, including Microsoft Outlook, Work, Excel and Teams
· Experience using ERP and CRM Systems
· Ability to build positive working relationships with customers, suppliers and colleagues
· Ability to work under pressure whilst maintaining a high level of accuracy
· Proactive approach to problem solving

Pay: From £26,000.00 per year
