Hawksley & Sons is a small but growing medical supplies and equipment company. We manufacture and distribute medical & laboratory supplies to both the NHS and private sectors.
We are looking for a diligent and versatile individual to support the needs of our growing business. The main component of this role will be business administration: taking, processing and dispatching customer orders, as well as dealing with customer queries and enquiries.
The secondary part of your role will be supporting with our sales campaigns, drafting quotations, and supporting the Sales Director manage their sales pipeline. Therefore, we need a candidate who is confident at communicating with our customers – verbally and written - has strong organisational skills, has good maths skills, and is quick to learn.
As an SME (Small Business) our staff are used to working across departments and we would expect the same versatility from our preferred candidate. Ultimately, as a growing business, we hope to find a person who can become a key member of the team, as we progress in the expanding market of medical equipment and supplies.
Our office hours are standard as 9am – 5pm, but the office is open between 8am – 6pm.
Your working hours will remain somewhat flexible, if required and at the discretion of the Company.
Monthly paid
Sick pay at the Company’s discretion.
Holiday entitlement will be 25 days per annum + worked bank holidays.
Key Skills Required:

Administration
- Managing Hawksley’s enquiries inbox
- Responding to customer enquiries
- Processing Sales Orders on Sage Accounts
- Invoicing Customers
- Credit Control
- Preparing Quotations and Proforma Invoices
- Assisting the Office Manager with any additional tasks that are necessary for executing our business functions well.
Duties will include dealing with emails, taking requests from customers and turning them into quotations, processing orders, monitoring orders and ensuring deliveries are met, answering technical questions from customers, courteously and efficiently dealing with all matters in the company.
Further duties include logging orders onto our systems, generating an electronic invoice and taking payment where required or referring accounts matters across to the accounting department. The role shall also include preparing and organising European & Worldwide deliveries.
Sales Support
Another significant part of this role will be hands-on sales support for the Sales Director. You will help us to reengage with old customers, identify new ones, and keep the sales pipeline moving by:
- Planning and sending email campaigns to lapsed and long-standing customers to re-engage them with Hawksley.
- Researching prospective companies, sectors and markets for Hawksley to work with in the future.
- Managing the Sales Director's diary - booking and following up online calls and in-person client visits.
- Carrying out market research as directed by the Sales Director
- Providing some account management for existing customer accounts.
Customer Service
Hawksley is rapidly growing into its key business areas of Fertility, Centrifugation, and Regenerative Medicine. Customers need a range of support in each of these areas and you will be supporting to grow these areas by:
- Managing enquiries mailboxes
- Becoming knowledgeable about Hawksley’s key business
- Contacting customers about marketing campaigns
- Helping customers on the phone & via email with their enquiries and requests
- Liaising between Hawksley staff and customers to resolve a customer’s issue
- Supporting customers with tenders and sales opportunities they have
We want to transform and develop the business by pursuing and researching new business opportunities. Working in conjunction with our wider team, you will be supporting in the varied business development projects that are ongoing in the business. The organisation is hoping to triple its revenue in the next 3 years, and you will be part of this effort.
Your main project will be becoming knowledgeable and approachable in some key product areas, to support existing customers and bring on board new ones. This will entail some account management, sales research, despatching samples, negotiating introductory discounts and some in-person meetings.
More generally, you will be expected to support in other areas; doing background research on medical devices, medical procedures and medical customers; developing relationships with new clients, organising sales communications.
Data Analysis

Pay: £26,000.00-£29,000.00 per year
