The British Polio Fellowship is seeking an organised, enthusiastic and detail-oriented Fundraising Administrator to provide administrative support across our fundraising activities.
This is an ideal opportunity for someone with strong administrative and organisational skills who is interested in working within fundraising and the charity sector. Previous fundraising experience would be beneficial but is not essential.
Working closely with the Operations Manager and wider team, you will help ensure our fundraising activities run smoothly, our supporters receive excellent communication and our fundraising records are accurate and up to date.
Duties and Responsibilities
As Fundraising Administrator, you will provide administrative support across a range of fundraising activities, including:
- Processing donations and ensuring they are accurately recorded.
- Preparing and sending thank you letters and other donor communications.
- Maintaining accurate and up-to-date donor, supporter and fundraising records on the charity's CRM database.
- Supporting the administration of Gift Aid and maintaining appropriate records.
- Providing administrative support for fundraising events and challenges, including the London Marathon and other community and challenge events.
- Managing participant registrations, records and communications for fundraising events.
- Supporting individual and community fundraisers throughout their fundraising journey.
- Providing administrative support for fundraising appeals, raffles, campaigns and other regular or one-off fundraising initiatives.
- Supporting the administration of the charity's lottery.
- Managing fundraising merchandise, including stock records, orders and distribution.
- Supporting the development and maintenance of the charity's donor and supporter database.
- Assisting with fundraising mailings and supporter communications.
- Providing administrative support for Trust and Foundation fundraising, including maintaining records, coordinating correspondence and monitoring reporting and application deadlines.
- Working with the Operations Manager and Communications team to support the production of fundraising content and promotional materials.
- Producing basic fundraising reports and maintaining accurate records of fundraising activity and income.
- Undertaking general fundraising administration and providing support for new fundraising initiatives as required.
- Providing reasonable administrative cover for the Operations Administrator during periods of absence or increased workload, including answering telephone calls, taking and passing on messages, responding to straightforward enquiries and escalating urgent matters to the appropriate member of staff.
- Supporting the wider Operations team with essential administrative tasks where required to help maintain continuity of day-to-day services.
Qualifications and Experience
- Previous experience in an administrative role, or experience in a relevant field with transferable skills.
- Previous fundraising or charity sector experience would be beneficial but is not essential.
- A relevant degree or vocational qualification is desirable but not required.
- Good working knowledge of Microsoft Word and Excel, with experience using Outlook and other standard office software.
- Experience using CRM or database systems would be beneficial, although training can be provided.
- Excellent organisational skills with strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Confidence communicating with supporters, donors and members of the public by telephone and email.
- Ability to manage multiple tasks, prioritise workload and meet deadlines.
- Ability to maintain accurate and confidential records.
- Strong interpersonal skills and the ability to work collaboratively as part of a small team.
- A positive and flexible approach, with a willingness to learn and develop within the role.

Working at BPF
This is a permanent, part-time position requiring 28 hours per week, normally worked over four days.
The role will initially be office based at our Watford office (WD25). Following successful completion of probation, there may be the opportunity to work on a hybrid basis, with up to one regular day per week working from home, subject to organisational requirements and agreement with the Operations Manager.
The role reports directly to the Operations Manager.
