Job Summary

We are seeking a highly organised and professional Lettings Administrator to join our team. The successful candidate will play a vital role in managing rental listings, supporting the lettings process, and providing exceptional service to clients and tenants. This role offers an excellent opportunity for individuals with administrative experience and a keen eye for detail to contribute to a dynamic property management environment. The ideal candidate will possess strong data entry skills, office experience, and excellent phone etiquette, with a proactive approach to upselling where appropriate.
Responsibilities
- Manage and update rental listings using Yproperty management tools
- Handle all aspects of data entry accurately, including tenant information, property details, and lease agreements
- Respond promptly to enquiries via phone, email, and in person, maintaining professional phone etiquette at all times
- Support the lettings team with administrative tasks such as scheduling viewings, preparing documentation, and maintaining filing systems
- Assist with tenant onboarding processes and ensure all documentation is complete and compliant with regulations
- Promote available properties through upselling techniques to maximise occupancy rates
- Liaise with tenants, landlords, and contractors to facilitate smooth communication and operations
- Organise appointments for viewings and inspections efficiently within the team’s schedule
Qualifications
- Proven office experience, ideally within property management or lettings environments
- Strong data entry skills with high accuracy levels
- Experience using Yardi or similar property management software is highly desirable
- Excellent organisational skills with the ability to prioritise tasks effectively
- Exceptional phone etiquette and communication skills
- Previous administrative experience in a fast-paced environment is preferred
- Ability to demonstrate proactive upselling techniques to enhance client engagement
- A professional attitude with a keen eye for detail and confidentiality
