Events Administrator
Athena is the Midlands' leading events venue, hosting a wide range of events including award dinners, music and dance shows, conferences, weddings, and Christmas parties. We are a growing and successful company with an exciting opportunity for an Events Administrator to join our expanding team. As part of our small but dynamic team, you will support the smooth planning and administration of every event we deliver in-house.
The Role
As Events Administrator, you will be the administrative backbone of the events team, ensuring bookings, client communications, and event documentation run smoothly. Your primary focus will be liaising with clients, producing accurate event paperwork, and supporting the wider team with general office administration. This is a fantastic opportunity for someone looking to build their events experience in a prestigious environment.
It's a varied role throughout the year, and you'll be part of a small, highly engaged team that designs and delivers every aspect of events in-house.
The successful candidate will be able to multi-task effectively, be enthusiastic and positive, and have excellent customer service and organisational skills.
Key Responsibilities
- Answer incoming calls and handle client enquiries professionally.
- Liaise with clients throughout the planning process, ensuring their needs are understood and communicated to the team.
- Produce event sheets for each function, ensuring all details are accurate and issued in good time.
- Carry out general office administration as required, including filing, correspondence, and record-keeping.
- Work with the chef on client table plans and dietary requirements.
- Coordinate with kitchen, staff, and customers to confirm timings ahead of events.
- Support the team in briefing event staff on their roles and responsibilities.
- Address any client queries or concerns promptly, coordinating with other departments as necessary.
- Ensure adherence to all checklists and standard operating procedures (SOPs).
Requirements
- Able to work well under pressure.
- Comfortable working on own initiative as well as part of a team.
- Outstanding oral and written communication skills.
- Strong organisational skills and attention to detail.
- Confident using Canva, spreadsheets, and the latest AI tools, with experience of CRM systems (HubSpot preferred).
