About Us
Flexy Commercial Group is a fast-growing construction support company providing specialist construction cleaning, mastic (sealant) installation and air tightness testing services to some of the UK's leading housebuilders.
We are looking for an organised, proactive and reliable Office Administrator / PA to our Operations Director to join our team. This is a varied role combining general office administration with direct PA support to the Operations Director.
The role does not need to be office-based full-time. You will be required to attend our Bicester office approximately 2–3 days per week, with the flexibility to work remotely for the remainder of the week.
A company laptop and mobile phone will be provided.
The Role
You will support the day-to-day running of the business while also working closely with the Operations Director, helping with diary management, correspondence, organisation and general administrative tasks.
As a growing business, we are looking for someone who is comfortable working in a busy environment, can manage their own workload and is happy to take responsibility for getting things organised.
Responsibilities
- Provide day-to-day PA support to the Operations Director.
- Manage diaries, appointments, meetings and reminders.
- Assist with emails, correspondence and follow-ups.
- Answer incoming telephone calls and emails professionally.
- Schedule jobs and update our CRM system.
- Prepare quotations, purchase orders and invoices.
- Assist with credit control and customer account queries.
- Liaise with site managers, clients, suppliers and our operatives.
- Maintain accurate electronic filing and company records.
- Upload documents to client portals.
- Assist with compliance documentation, including RAMS, insurance and accreditations.
- Support the management team with general administration.
- Order office supplies and maintain office records.
- Help keep track of outstanding tasks and ensure important deadlines and actions are followed up.
About You
The ideal candidate will have:
- Previous experience in office administration, PA or a similar role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail.
- Good knowledge of Microsoft Office, particularly Word, Excel and Outlook.
- Confidence managing multiple tasks and priorities.
- Ability to work independently when working remotely.
- A proactive approach and willingness to take ownership of tasks.
- A professional and reliable manner.
- Experience using Xero, Jobber or similar software would be advantageous but is not essential.
- Previous experience within construction would be beneficial but is not essential.

Working Hours
Monday to Friday, 8:00 am – 4:00 pm, with a lunch break.
The role offers flexibility to work remotely, with regular attendance at our Bicester office required approximately 2–3 days each week.
