Telos Electrical Services is growing, and we’re looking for a versatile, proactive Administration Assistant to join our team. This is an office based role, ideal for someone who enjoys variety, takes ownership, and wants to play a key part in supporting the smooth running of a busy electrical firm
Responsibilities
- You’ll be involved in a wide range of day today administrative and financial tasks, helping keep our operations organised, efficient, and up to date. Your responsibilities will include:
- Job Scheduling & Customer Contact - Calls to arrange and book jobs, coordinating appointments, and ensuring clear communication.
- Supplier Liaison - Contacting suppliers regarding materials, credits, and queries.
- Accounts & Monthly Processes - Assisting with monthly statements, setting up payments, and supporting general bookkeeping tasks.
- CIS Administration - Submitting CIS statements to subcontractors and CIS suffered report filing.
- Data Entry & Record Keeping - Inputting timesheets, materials purchased, and job information into Excel and our software systems.
- Job Management - Updating job progress within our systems to ensure accurate tracking and reporting.
- Invoicing & Cost Gathering - Supporting the invoicing process and helping gather costs for completed works.
- VAT Support - Assisting with VAT return preparation.
- Additional Administrative Support - This list is not limited to the tasks above; the role will also involve assisting other team members within the office with any additional administrative duties as required.
Experience
- Previous office experience with a solid understanding of administrative duties and day‑to‑day office operations
- Strong computer proficiency, including confident use of Microsoft Office (Word, Excel, PowerPoint)
- Excellent organisational abilities with a proven capacity to manage priorities in a fast‑moving environment
- Professional phone manner and clear communication skills when interacting with clients, suppliers, and colleagues
- Competence in general clerical tasks such as document preparation, scheduling, and record maintenance
- Familiarity with Xero or other accounting software is beneficial but not essential
- Quick to learn new systems and processes, with a consistent focus on accuracy and attention to detail
Pay: £14.00-£16.00 per hour
Expected hours: 18.0 per week
