Pitfodels Wood is our brand new, luxury care home located in Aberdeen’s prestigious Pitfodels Conservation Area in the city’s sought-after West End. Combining five-star hospitality with high-quality, person-centred care, we are setting a new benchmark for care in the North East.
We are looking for an experienced, compassionate Administrator with a genuine interest in helping us deliver high-quality care our residents deserve - it’s all about being resourceful and adaptable! As part of the opening team, you will help set the tone, standards and culture of Pitfodels Wood from day one.

Role & Responsibilities
- Play a key role in the smooth day-to-day running of the home providing administrative support to the Home Manager and wider team
- Act as the first point of contact to residents, families, professionals and visitors, handling enquiries professionally and delivering a warm, friendly welcome
- Carry out a range of administrative tasks including filing, photocopying, data entry and managing correspondence
- Maintain accurate, confidential and up-to-date resident records in line with regulatory requirements
- Coordinate recruitment administration, onboarding and compliance providing a positive candidate experience and warm welcome
- Support the accurate and compliant administration of financial and payroll processes within the home
What we are looking for
- Previous experience in an administrative role you’ll bring experience from a healthcare or customer-focused setting
- Strong IT skills including Microsoft Office, Teams & Outlook
- Passionate about delivering an excellent service, with a professional, caring and resident-focused approach
- Excellent organisation and communication skills with a confident and professional telephone manner and the ability to build positive relationships with residents, families, visitors and colleagues
- Adaptable, proactive and team-oriented with a willingness to support the smooth running of the home
