Weatherproofing Advisors is a national Roofing, Cladding and Scaffolding company with locations in Glasgow, Newcastle, Merseyside, London, and Bristol. We are currently recruiting for the following position:
·Office Manager to join our Bristol Office
About the Role
This role plays a key part in ensuring smooth financial processing, resource coordination, and service delivery across multiple contracts.
Key Responsibilities
Financial & Systems
- Raise and process invoices accurately using NAV.
- Record all budget and contract value changes in detail.
- Implement approved budget changes for ongoing jobs.
- Process and cross-check operatives’ timesheets weekly.
- Issue invoices in line with Purchase Orders (excluding application-based contracts such as Tesco and Shell).
- Manage and track jobs via Lucernex and Verisae systems, ensuring:
- Jobs are accepted and completed on time
- Delays are escalated and updated where required
- Complete GRNs promptly as received.
- Ensure all required documentation (e.g. SC18) is complete prior to invoicing.
SHEQ & Compliance
- Create and maintain job folders on the central filing system.
- Monitor and update internal trackers (Verisae and client-based systems such as Unite Students).
Resource Management
- Manage and monitor the vehicle fleet, ensuring internal systems are kept up to date.
- Maintain diaries and issue daily whereabouts reports.
- Support weekly auditing of operatives and ensure records are maintained.
Service & Office Support
- Provide a professional front-line service, including handling incoming calls and visitors.
- Issue Contract Award Letters upon receipt of Purchase Orders.
- Ensure Contract Managers respond to communications within required timeframes.
- Order uniforms and PPE as required for operatives and management staff.
- Coordinate office and site maintenance (e.g. PAT testing, fire safety checks, cleaning services).
Operatives Support
- Manage absence reporting processes.
- Maintain accurate holiday trackers for operatives and site managers.
About You
- Strong administrative and organisational skills
- Experience working with systems such as NAV (or similar ERP systems)
- High attention to detail and accuracy
- Ability to manage multiple tasks and deadlines
- Confident communicator with a professional manner
- Experience in a construction, facilities management, or service environment (desirable)

Additional Information
