Purpose
To support the Centre Manager in delivering operational excellence within the centre and provide outstanding customer service to clients. The Centre Assistant is a key point of contact for clients and visitors, ensuring the smooth day-to-day running of the centre, contributing to a positive and productive environment for all users and acting as a capable deputy to the Centre Manager when required.
Working Hours
Part time, 20 hours per week, to be worked flexibly across Monday - Friday between 8:30am and 5:30pm. While working hours may commonly fall around 10:00am–2:00pm, this is indicative only and subject to variation in line with business needs.

Job Description
Your key responsibilities will include (but not be limited to):
Specific Tasks
Operations
Support the Centre Manager in delivering operational excellence across the centre.
Open and close the centre in line with procedures.
Greet clients and visitors, providing a professional and welcoming front-of-house experience.
Manage reception duties including calls, emails, enquiries, mail handling and diary support.
Maintain communal areas, including kitchen restocking and general presentation standards.
Complete daily floor walks and spot checks to ensure centre standards, safety, and compliance are maintained.
Support completion of monthly audits and follow-up actions.
Keep systems, records, and documentation accurate and up to date.
Manage keys and fobs, including set up, replacements, and associated charges.
Support basic IT setup and troubleshooting for clients where required.
Ensure all Flexico policies, procedures, and checklists are consistently followed.
Clients
Deliver a consistently high level of customer service to all clients.
Act as a first point of contact for client queries, issues, and requests.
Support a positive, connected centre community by engaging with clients and encouraging interaction.
Assist with client onboarding, including move-ins, move-outs, and workspace readiness.
Ensure client records are accurate and maintained.
Your Building
Support oversight of building maintenance, health & safety, and compliance standards.
Carry out required checks and audits, ensuring any issues are identified, escalated where necessary, and followed through to resolution.
Liaise with contractors and suppliers on site as required.
Prepare and maintain contractor work lists and log all facilities requests.
Escalate building issues appropriately and ensure timely follow-up.
Maintain an understanding of key building information, layouts, and compliance requirements.
Support fire safety compliance, including ensuring documentation and assigned responsibilities are in place.
Sales and Finance
Ensure the centre is consistently “show ready”, with vacant offices prepared for viewings.
Support and conduct client tours when required.
Provide timely and accurate feedback via CRM following tours.
Support move-in and move-out processes to ensure accuracy and a smooth client experience.
Manage stock ordering, ensuring best value for money and cost efficiency across supplies and consumables.
Support billing accuracy for ad hoc services and charges.
