Munro Building Services, South Office are seeking a Contracts Administrator to join the team on a permanent full-time basis. The successful candidate will be providing administrative support to the Contracts Project Management Team.
Primary duties will include but are not limited to:
- Processing telephone calls, directing them to the appropriate staff and taking accurate messages ensuring they reach the relevant person
- Greeting visitors and clients
- Diary management and meeting arrangements
- Arranging couriers as required
- Printing Drawings
- Other administrative duties as required by the contracts team
- Provide cover for colleagues as required and assist with other administrative duties
- Providing admin support to our team of Project Managers as required including creating and responding to meeting requests, typing of minutes and other documents
- Document Control- receive, upload, log and distribute incoming correspondence/reports to the relevant Project Team Members, ensuring correct location within the Project Files
- Drawing Control- receive, log and distribute incoming and outgoing drawings, utilising the particular project distribution methodology and system including online document portals.
- Data entry onto spreadsheets and document trackers
- Ensuring all outstanding information has been received from suppliers or subcontractors e.g. quotations, technical submittals, certifications etc.
Skills, Knowledge and Competencies required:
- Experience in an administrative role
- Good IT Skills (Microsoft Office i.e. Word, Excel and Outlook)
- Excellent communication skills, both written and verbal
- Being able to work independently but also as a part of the team
- Good initiative and forward thinking
- Strong attention to detail and accuracy
- Excellent telephone etiquette
- Ability to work with minimum supervision
- Flexible and helpful approach to work
- Good Interpersonal skills
- Thorough & organised with a 'can do attitude'
- Full Driving License, is preferable but not essential
Salary:
Dependent on experience
Working Hours and Benefits
- Full Time, Permanent, Office Based
- Contracted Monday-Friday
- Working hours 8:00am-5:00pm
- 25 days holiday per annum + bank holidays
