About the Role
Elite Traffic Management Group is looking for an organised, confident and experienced Fleet Coordinator to support the day-to-day management of our vehicle fleet.
The successful candidate will play a key role in ensuring vehicles are maintained, compliant, available for work and dealt with efficiently when defects, servicing or repairs arise. You will work closely with drivers, workshops, vehicle hire companies, suppliers and the wider transport team.
This is a busy role requiring excellent communication, organisation and attention to detail.
Key Responsibilities
- Coordinate the day-to-day maintenance and availability of the company fleet.
- Manage and monitor Planned Maintenance Inspections (PMIs) and ensure vehicles are presented for maintenance at the correct intervals.
- Monitor vehicle defects and ensure they are reported, assessed and rectified appropriately.
- Liaise confidently with drivers regarding vehicle condition, defects, maintenance requirements and vehicle availability.
- Coordinate vehicle repairs and maintenance with external workshops and internal maintenance teams.
- Liaise with vehicle hire companies, leasing companies, manufacturers, workshops and suppliers to arrange servicing, repairs, replacement vehicles and inspections.
- Monitor vehicles that are VOR (Vehicle Off Road) and ensure repairs are progressed as quickly as possible.
- Maintain accurate fleet records, including servicing, PMIs, defects, MOTs, inspections and repair history.
- Use fleet management systems and telematics platforms to monitor vehicle activity, mileage, utilisation and other relevant fleet information.
- Produce regular fleet reports and monitor key fleet performance information.
- Use Microsoft Excel to maintain spreadsheets, analyse fleet information and produce reports.
- Assist with ensuring vehicles remain compliant with company policies and relevant transport legislation.
- Monitor upcoming MOTs, services, inspections and other statutory requirements.
- Coordinate vehicle movements to and from workshops, depots and other locations.
- Maintain clear communication between drivers, workshops, hire companies and the Fleet/Transport Management team.
- Escalate serious or recurring vehicle defects and maintenance issues to the Fleet or Transport Manager.
- Support the Fleet Manager and Transport Manager with general fleet administration and ongoing fleet improvement projects.
Essential Experience & Skills
The successful candidate must have:
- Previous experience within a fleet, transport, vehicle or logistics environment.
- Good working knowledge of PMIs (Planned Maintenance Inspections) and vehicle maintenance schedules.
- Experience dealing with vehicle defects and understanding when defects require immediate attention.
- Excellent communication skills and confidence when speaking with drivers and challenging poor vehicle standards where necessary.
- Experience liaising with workshops, hire companies, leasing companies and vehicle suppliers.
- Good working knowledge of fleet management software and systems.
- Experience using vehicle telematics systems and interpreting fleet/vehicle data.
- Strong Microsoft Excel skills, including the ability to maintain spreadsheets, track information and produce reports.
- Excellent organisational skills with the ability to manage multiple vehicles, repairs and deadlines simultaneously.
- Strong attention to detail and the ability to maintain accurate records.
- The ability to work under pressure in a fast-paced transport environment.
- A proactive approach to identifying and resolving fleet issues before they affect operations.
