Are you a friendly, organised and professional administrator who enjoys providing excellent customer service? We're looking for a Part-Time Front Line Call Handler / Admin Assistant to join our supportive Head Office team at Woolley & Co, Solicitors.
As the first point of contact for clients and professional contacts, you'll play a key role in creating a positive first impression of our national family law firm. This varied role combines front-line call handling with administrative support, making it ideal for someone who is confident communicating with people, enjoys working in a busy office environment, and has excellent attention to detail.
Based at our Head Office in Gaydon, Warwickshire, you'll work four mornings per week (16 hours) as part of a friendly team, supporting our lawyers and Office Manager to ensure the smooth day-to-day running of the office.
Main purpose of the role:
To provide front line call handling services and admin support for national law firm Woolley & Co, Solicitors as part of a small, supportive head office team.
Main responsibilities:
- Handle incoming calls from clients, solicitors, barristers, suppliers etc. filtering calls and handing over the call to other relevant members of staff, taking comprehensive messages, processing new enquiries via a case management system and distributing enquiries to lawyers
- Process and distribute new client enquiries received via web forms and emails
- Use excellent communications skills to provide a professional first impression of the business
- Provide administrative support to the Office Manager, lawyers and other members of the Head Office team
- Follow administrative procedures as explained by the Office Manager
- Scanning, photocopying and filing confidential documents
Education and experience requirements
- Good working knowledge of Microsoft Office applications, including Word, Excel, and Outlook (essential)
- Strong IT skills with the ability to use digital systems accurately and efficiently (essential)
- Good working knowledge of virtual telephony/ switchboard systems and case management systems (desirable)
- Good verbal and written communication skills
- Excellent attention to detail and good time management skills
