This is a fast-paced job. As a receptionist/administrator, you will be responsible for managing the reception area, providing administrative support, and ensuring the smooth operation of our office. Your primary duties will include meeting and greeting clients, call handling, maintaining a clean reception area, and assisting with file opening, client communication compliance checks and land registry tasks.
Responsibilities
Client Reception:
- Welcome and greet clients and visitors in a friendly and professional manner.
- Direct clients to the appropriate meeting rooms and inform relevant staff members of their arrival.
- Maintain a tidy and presentable reception area, ensuring it is well-stocked with necessary supplies.
- Deal with the administration and distribution of post.
- Administrative Support
- Assist in the opening of client files in accordance with established procedures and guidelines.
- Organise and manage electronic and physical files.
- Provide quotes and assist with pricing inquiries.
- Handle incoming calls and divert them to the appropriate staff members or departments.
- Take detailed messages and ensure prompt delivery to the intended recipients.
- Assist with compliance checks and ensure adherence to regulatory requirements.
- Assist with land registry tasks, including document preparation and submission.
- Assist with general administrative duties such as scheduling appointments, coordinating meetings, and managing office supplies.
RESPONSIBILITIES – GENERAL
· Maintain your working area in a clean and professional condition
· Maintain professional standards in both personal appearance and behaviour
· Maintain strict company and employee confidentiality at all times
· Report immediately to the company any matter that you believe transgresses either health and safety or other employment regulations
· Report any damage to company property, howsoever caused, to a member of management as soon as possible
