Clinical Co-ordinator (Self-Employed) Job Summary
Home Physio Company is looking for an organised, compassionate and proactive Clinical Co-ordinator to support the delivery of our specialist home physiotherapy service.
This is not a traditional administrative role. The successful candidate will be the first point of contact for many patients and will play a key role in understanding their needs, matching them with the most appropriate physiotherapist and ensuring an outstanding patient experience from enquiry through to treatment.
We are looking for someone with a good understanding of physiotherapy and rehabilitation. Previous experience working as a Physiotherapy Assistant (PTA), Rehabilitation Assistant or within a physiotherapy service would be highly advantageous.
This is a self-employed, flexible role of approximately 13–22 hours per week, with hours varying according to business needs and mutually agreed availability.
Responsibilities
- Answer telephone and email enquiries professionally and compassionately.
- Gather relevant clinical information to understand each patient's needs.
- Match patients with the most appropriate physiotherapist based on their condition, location and availability.
- Explain our physiotherapy services, pricing and booking process.
- Book, amend and manage patient appointments.
- Liaise with physiotherapists regarding availability and clinical suitability.
- Create and maintain accurate patient records within our electronic medical record system.
- Send appointment confirmations, invoices and patient information.
- Process payments and monitor outstanding balances.
- Carry out weekly accounts receivable checks and follow payment procedures.
- Communicate with patients, families, solicitors, insurers and case managers where appropriate.
- Ensure all enquiries are followed through promptly and professionally.
- Escalate safeguarding, complaints or complex clinical queries to the Clinical Director.
- Support the continual improvement of administrative systems and patient experience.
Essential Experience & Skills
- Good understanding of physiotherapy and rehabilitation.
- Excellent communication and customer service skills.
- Ability to build rapport with patients and their families.
- Highly organised with excellent attention to detail.
- Ability to prioritise multiple tasks in a busy environment.
- Confident using Microsoft Office, email and cloud-based systems.
- Excellent written and verbal English.
- Ability to work independently and take ownership of tasks.
Desirable Experience
- Previous experience as a Physiotherapy Assistant (PTA) or Rehabilitation Assistant would be great.
- Experience working within physiotherapy, rehabilitation or another healthcare setting.
- Experience coordinating patient appointments or clinical services.
- Knowledge of neurological, musculoskeletal, orthopaedic, paediatric or elderly rehabilitation.
- Experience using electronic medical record (EMR) systems.
- Familiarity with private healthcare, insurers or case management.
