About the Role
Fireserv UK is a well-established, BAFE-accredited Fire & Security company delivering high-quality solutions across fire detection, intruder alarms, CCTV and access control. As a Honeywell Gent Approved Partner, we are committed to excellence, innovation and outstanding customer service.
Due to continued growth, we are looking for a skilled and organised Fire & Security Operations Administrator to join our expanding team. This is a varied role where you will support the day-to-day running of our operations department, working closely with engineers, customers, suppliers and senior management to ensure jobs are planned, coordinated and completed efficiently.
Key Responsibilities
- Manage the main email inbox, allocate tasks and follow up as required.
- Maintain regular contact with staff, clients and suppliers by phone and email.
- Raise purchase orders and manage stock control, including ordering materials, coordinating collections, managing deliveries and processing returns.
- Allocate incoming purchase orders and provide relevant updates.
- Prepare job packs with the materials and documentation required ahead of scheduled works.
- Follow up with engineers for completed paperwork and accurately close down job reports ready for invoicing.
- Handle phone calls and accept deliveries.
- Compile daily, weekly and monthly reports to support management processes.
- Liaise with customers to help ensure targets and expectations are met.
- Monitor and reconcile daily false alarm management, raising actions where required.
- Complete weekly health checks of monitored systems.
- Process and maintain keyholder details for ARC accounts.
- Support different areas of the operations team and provide holiday cover when required.
- Communicate effectively with senior management to ensure tasks are completed on time.
- Maintain and update shared documents with job details and engineer diaries.
- Distribute and manage internal documentation, ensuring records are saved for auditing purposes.
- Populate engineer schedules on the job portal, including frequency and charges.
- Support compliance-related administration for external accreditation audits.
- Carry out other reasonable duties as required.
About You
We are looking for a motivated and reliable administrator who is confident managing a busy workload, able to use their own initiative and has strong attention to detail. You should be comfortable communicating with colleagues, customers and suppliers, and be able to prioritise tasks effectively in a fast-paced environment.
