POSITION OVERVIEW
NPS Law is seeking an enthusiastic and detail-oriented New Business Assistant to join our busy Residential Conveyancing Department at our London Canary Wharf. This is an excellent opportunity for someone who thrives in a fast-paced environment and is passionate about delivering exceptional client service.
As a New Business Assistant, you will provide essential administrative support to our conveyancing team, ensuring the smooth running of day-to-day operations. You will be the first point of contact for clients, handling enquiries, managing documentation, and supporting fee earners throughout the conveyancing process. This role is vital to maintaining our high standards of client care and operational efficiency.
Working within a supportive and collaborative team environment, you will have the opportunity to develop your skills in legal administration and client relationship management while contributing to the success of our Residential Conveyancing Department.
KEY RESPONSIBILITIESClient Communication & Customer Service
· Act as the first point of contact for clients, handling telephone and email enquiries professionally and efficiently
· Provide excellent customer service, keeping clients informed of progress throughout their transaction
· Liaise with clients, estate agents, mortgage lenders, and other third parties
· Schedule appointments and manage fee earner diaries
· Prepare client correspondence and documentation as required
· Handle client queries and resolve issues promptly and professionally
Administrative Support
· Open new files and maintain accurate client records on the case management system
· Prepare and process legal documentation, including contracts, forms, and correspondence
· Conduct property searches and order necessary documentation
· Monitor key dates and deadlines to ensure timely progression of cases
· Prepare completion statements and financial documentation
· File management including archiving and document retrieval
· Process incoming and outgoing post and emails
· Maintain accurate time recording and billing information
General Office Support
· Provide general administrative support to the conveyancing team
· Assist with scanning, photocopying, and document management
· Maintain office filing systems and ensure documents are properly stored
· Support with ad hoc projects and tasks as required
· Contribute to team meetings and departmental initiatives
· Ensure compliance with office procedures and quality standards

· Previous experience in a legal administration or office support role
· Knowledge of residential conveyancing processes

· Relevant qualifications in business administration or legal studies

Employment Terms
· Full-time position: Monday to Friday
· Standard office hours: 9:00am - 5:30pm
