The Rentals Manager will be responsible for the day-to-day management of the rental of two multi-use buildings and spaces belonging to a charity. They will be responsible for liaising with commercial hall hirers at all stages of the process, diary management, and invoicing/accounts receivable. They will manage the charity’s residential lettings and ensure the charity’s adherence to all relevant legislation. They will take a creative and thoughtful approach to working with rental clients, and to our two historic and precious buildings. They will work collaboratively with colleagues on marketing and facilities - deputising for our part-time Facilities Manager when he is away.
This role would be ideal for a thorough and organised person with strong administration skills, who is looking to work part-time in a flexible, charitable organisation with purpose and mission. It would be ideal for someone looking to fit this paid work around other commitments or projects. The role is based at least 75% on-site in Islington and Hackney; we are happy for a half-day of admin to be done from home. Some evening and weekend work may be required, but we can be flexible. We offer a generous annual leave package.
- Managing inbound hall hire enquiries via email and potentially phone
- Booking in clients using Google Calendar and issuing contracts
- Invoicing all clients using Xero, managing accounts receivable and chasing arrears
- Booking and conducting site visits, and acting as a first point of contact for hall hirers throughout the life cycle of their booking
- Hiring and managing freelance stewards and security staff for certain hall hires
- Dealing with any rental or hall hire-related correspondence from third parties
- Conducting market research into local halls and venue lettings of a similar size to ensure our pricing remains in line with the market
- Proactively monitoring, looking out for and suggesting opportunities to collaborate on enhancing and promoting the buildings, such as checking cleanliness and supplies levels or taking photographs at events
- Managing at least one residential property and ensuring the charity adheres to all relevant legislation around tenancies, including (but not limited to) handling deposits, check-in/check-out inventories and rent price negotiation in line with market trends
- Procuring and managing contractors for repair and maintenance work when the part-time Facilities Manager is unavailable
- Acting as licensee for events serving alcohol
