Role Purpose
To provide operational support to the Purchasing Team by managing the day-to-day flow of information between suppliers, Purchasing, Customer Services and the Warehouse. The role is responsible for monitoring inbound stock, communicating supplier updates, resolving delivery and stock issues, and ensuring internal teams have accurate and timely information regarding product availability.
The role acts as a key link between suppliers and internal departments, helping to ensure smooth stock flow and excellent customer service. This is a wide and varied role which is instrumental in maintaining our high service levels.
Key Responsibilities
Supplier & Delivery Coordination
· Contact suppliers to obtain and update ETAs for outstanding purchase orders. Update the system with confirmed delivery details.
· Report product issues to relevant supplier via Ticket.
· Communicate stock delays and delivery changes to customer services and purchasing teams.
· Maintain regular communication with suppliers regarding inbound deliveries.
· Monitor inbound delivery schedules and escalate potential issues.
· Follow up on outstanding supplier queries and requests.
· Recording delivery bookings and monitoring/changing where required.
Warehouse & Stock Liaison
· Act as the main operational link between Purchasing and the Warehouse.
· Have full knowledge of delivery issues raised to the supplier by Warehouse. These will include:
Damaged stock - Missing products - Quarantined stock - Incorrect deliveries
· Warehouse will raise issue and assign ticket to Purchasing. This role then requires management with suppliers to achieve timely resolutions for each issue raised. Resolutions then reported back to Warehouse via ticket trail.
· Track and communicate outcomes of stock investigations.
Customer Service Support
· Manage sample requests between suppliers and internal teams.
· Respond to routine enquiries relating to stock availability and inbound deliveries.
· Support Customer Services with accurate information regarding delayed or incoming stock.
Product & Supplier Issue Resolution
· Report customer product complaints and quality issues to suppliers.
· Coordinate investigations between suppliers, warehouse and customer service teams.
· Monitor outstanding supplier claims through to completion.
· Maintain clear records of actions taken and outcomes achieved.
· Manage old Purchase Orders and cancel if the order cannot be supplied. Report issue via the Product Issues Spreadsheet.
Systems & Information Maintenance
· Update supplier contact details, lead times and information within company systems.
· Maintain accurate records relating to delivery schedules and supplier communications.
· Ensure key operational information is communicated promptly to relevant departments.
Cross-Department Communication
· Ensure all departments are kept informed of significant delays, shortages, stock issues and resolutions via the Product Issues Spreadsheet.
· Escalate recurring supply chain issues to the Purchasing Team.
Additional Duties
· Raising Purchase Orders
· Running Monthly Promotional Data and updating system each month, sharing spreadsheet with relevant team members to update website.
· Monthly promotional analysis and communication to Diverse Suppliers.
· Monitor overdue supplier PO confirmations and chase where necessary.
· Notify teams of supplier holiday and closure notifications.
· Assist with product recalls and withdrawals if required.
· Track supplier service issues and maintain a service log.
· Coordinate short-dated stock notifications from suppliers.
· Assist with onboarding new suppliers by gathering operational contacts and delivery requirements.
· Monitor supplier adherence to delivery requirements.

Pay: £26,227.00 per year
