Role Summary
The Resource Planner creates optimised schedules that balance client requirements with operational efficiency, ensuring excellent service delivery while maximising revenue and meeting KPIs and compliance targets.
Main Duties & Responsibilities:
- Plan and coordinate practitioner schedules to ensure optimal service delivery, KPI achievement, and contractual compliance.
- Monitor staffing levels, resolve gaps in clinical coverage, and maintain accurate schedules at all times.
- Manage shrinkage (absence, holidays, training) in line with forecasts and organisational guidelines.
- Re-plan schedules when changes occur, clearly communicating impacts and ensuring continuity of service.
- Work closely with the Real Time Team to maximise productivity, utilisation, and schedule adherence.
- Build strong working relationships with practitioners, managers, internal teams, and clients.
- Coordinate with agency/associate practitioners to create accurate schedules aligned with working patterns and client requirements.
- Set up and maintain booking system schedules and streaming groups, ensuring accuracy and flexibility.
- Identify and propose improvements to planning processes to enhance efficiency and performance.
- Carry out additional duties in line with the role and Optima Health values.
Knowledge, Skills & Expertise:
- Experience in planning and scheduling within a complex, multi-disciplinary environment. Resourcing experience would be preferred.
- Strong analytical abilities with excellent attention to detail and a commitment to data accuracy.
- Confident communicator with strong written and verbal skills.
- Effective influencer, able to adapt communication style to gain stakeholder support.
- Logical thinker with the ability to present clear, persuasive arguments for decision-making.
- Able to work independently, demonstrating resilience and a proactive approach to resolving issues.
- Advocate for change, with a continuous improvement mindset.
- Strong relationship-building skills, fostering trust and collaboration.
- Proficient in MS Office applications, including Excel, Word, Outlook, Bookings and Forms.
